What You’ll Be Responsible For
- Deliver attentive, solutions-focused support to clients, ensuring every interaction reflects the firm’s high service standards.
- Provide polished front desk coverage as needed, warmly welcoming guests and helping keep the office running smoothly.
- Manage advisor calendars with precision, coordinating meetings and commitments so the practice operates efficiently.
- Prepare and process client review materials and related paperwork, double-checking for accuracy and completeness.
- Set up new client accounts and handle money movement requests while adhering to firm and custodial policies.
- Keep client records current and organized in the CRM, ensuring information is easy to find and reliable for the advisory team.
- Support planning and execution of client events and internal initiatives that strengthen relationships and drive engagement.
- Partner with your practice team and fellow Client Services Coordinators to reduce administrative strain and support firm-wide priorities.
To Be Successful in This Role, You'll Bring:
- 3+ years of experience in a financial services support role, preferably within a wealth management, advisory, or similar environment.
- Exceptional interpersonal, written, and verbal communication skills, with a polished and professional client presence.
- Impeccable attention to detail and a habit of checking your work to ensure accuracy in a highly regulated setting.
- Strong time management skills and the ability to shift priorities smoothly to meet deadlines in a fast-paced environment.
- A collaborative, positive attitude and a track record of contributing to a healthy, team-oriented culture.
- Solid experience with key industry tools, including custodial platforms (such as Fidelity Wealth Central, Pershing NetX360, Schwab Institutional, RJ Advisor), CRM platforms (such as Salesforce, RedTail, Smart Office), financial planning platforms (such as eMoney or MoneyGuidePro), and eSignature tools like DocuSign.
- Proficiency in Microsoft Office 365, especially Outlook, Excel, and Word.
- A bachelor’s degree is preferred.
