Job description

📍 Kirkland, WA | 24-30 Hours per Week | On Site

Some companies have employees who stay for years.

This company has employees who stay for decades.

We're partnering with a well-established, union general contractor in Kirkland to find an Office Manager who enjoys keeping things organized, supporting accounting functions, and being the person everyone relies on to keep the office running smoothly.

This is a part-time position (approximately 24 to 30 hours per week), with the opportunity for additional hours and a full-time schedule in the coming months for someone who is interested in taking on more responsibility as the business continues to grow.

This isn't a high-volume corporate environment. It's a small office where your work matters, your teammates know your name, and you'll have the opportunity to become an integral part of the business.

If you're looking for a stable company where people genuinely enjoy coming to work and where you'll be appreciated for what you do, this could be an excellent fit.

What You'll Do

  • Manage the day-to-day administrative operations of the office
  • Process accounts payable using Sage
  • Maintain Positive Pay activity
  • Prepare, distribute, and track subcontract agreements
  • Verify Certificates of Insurance (COIs) and W-9 documentation
  • Enter vendor invoices and maintain accurate accounting records
  • Process recurring monthly invoices, including rent, utilities, retirement contributions, and other operating expenses
  • Maintain organized project and vendor files
  • Assist with general office administration and special projects
  • Cross-train in payroll, accounts receivable, and other accounting functions

What We're Looking For

  • Previous experience as an Office Manager, Bookkeeper, Administrative Manager, or Accounting Assistant
  • Experience in construction, general contracting, engineering, or a related industry is highly preferred
  • Sage experience
  • Knowledge of accounts payable and general accounting procedures
  • Familiarity with subcontract documentation, Certificates of Insurance (COIs), and W-9 requirements is strongly preferred
  • Highly organized with exceptional attention to detail
  • Able to prioritize work, solve problems, and work independently
  • Strong communication and customer service skills
  • Proficiency with Microsoft Office

Why You'll Love It

  • Join a well-established, financially stable company with a strong reputation in the construction industry
  • Union contractor with an experienced, collaborative team
  • Employees build long-term careers here. Many have been with the company for decades.
  • Opportunity to grow into a full-time position if that aligns with your career goals
  • Competitive compensation based on experience

If you're someone who enjoys bringing order to busy days, takes pride in doing things right, and wants to be part of a company where your contributions are genuinely valued, we'd love to hear from you.
