Position Title: Liturgical, Cemetery and Administrative Coordinator
Location: Parish Office
Work Hours: Full Time; 8:30 am to 4:30 pm
Reports to: Pastor
Classification: Non-exempt
- Liturgical
- Document processing
- Schedule Masses and collect donations
- Process sacramental certificates
- Create and maintain folders and all materials and schedules for baptism and funerals
- Communicate with all preparing for baptism
- Record all sacraments of baptism and deaths for the Parish
- Process funeral arrangements
- Prepare, maintain, schedule Mass Intention book
- Gather yearly totals for: baptisms and deaths
- Order office supplies for parish office
- Order and maintain inventory of liturgical items such as candles, wine, hosts, etc.
- Coordinate with ministries for Masses
- Secretarial
- Assist Pastor/Associate Pastors/Deacon
- Answer phones/Greet people entering office
- Assist all staff as necessary
- Assist Parish Groups with documents/schedules
- Assist campus with phone system
- Distribute/Post mail
- Maintain the information displayed in the sacristy/vestry
- Columbarium
- Sell niches, type contracts, establish a file on each niche containing all correspondence
- Update database for Columbarium accounts including payments
- Schedule dates for entombments and verify that clergy has been scheduled through priest in charge of liturgical calendar
- Order niche plaques and schedule mason for opening/closing of niches and placement of bronze plaques
- Order and maintain bronze urns for transfer from temporary urn, selling at fair market price
- Coordinate with Business Manager to see that ongoing maintenance at the Columbarium is attended to and issues addressed.
- Cemetery
- Contact sexton to schedule and determine location of plot for burial of remains and cremains.
- Maintain cemetery logs for death/burial records
- When family member{s) call, obtain as much information as possible. Sexton will require Block/Plot for locating/digging grave.
- Log this information in the record books, located in the safe in the mail room. Print off new sheet(s) for hard copy books, replacing old sheet(s).
- Coordinate with Business Manager to see that ongoing maintenance at the Cemetery is attended to and issues addressed.
Job Qualifications:
- Commitment to the mission, values, and teachings of the Catholic Church
- Strong knowledge and understanding of Catholic liturgies
- Strong organizational, communication, and interpersonal skills
- Proficiency in Microsoft Office Suite
- Ability to collaborate effectively with faculty, parish staff and parishioners
Education and Experience:
- Experience in liturgy, ministry, or Catholic school settings preferred
