Job description

Policy and Audit Project Coordinator
Rothe is seeking a Policy and Audit Project Coordinator to support NASA’s IT policy lifecycle and Audit Liaison function in support of the NASA Enterprise Multimedia and Integrated Technical Services (eMITS) contract. eMITS is the Agency’s enterprise-level contract creating and delivering multimedia and technical communications NASA’s OCIO and Office of Communications (OCOMM). From photographing rocket launches and recoveries, producing NASA TV segments, to information technology management, to using social media to share NASA’s message, eMITS integrates services for NASA IT and provides NASA’s communication to the outside world. Functional Responsibilities:
  • Serve as the OCIO Directives Manager.
  • Maintain a schedule that ensures policies and procedures are kept current.
  • Detect and correct policy, processes, and procedure and determine overlaps and potential conflicts.
  • Coordinate new IT policy and existing IT policy updates ensuring that all OCIO subject matters are addressed.
  • Coordinate reviews and comments on NASA policies, processes, and procedures.
  • Coordinate and track requisite reviews and disposition of comments.
  • Prepare the final submission of policy changes into the designated repositories.
  • Draft executive summaries that will be used in official communication of new policy or policy changes.
  • Create and maintain a full and current inventory of Agency and Center-specific directives, procedural requirements, and information directives, handbooks, and memoranda.
  • Provide monthly policy status reports.
  • Coordinate activities and report activity status of programs based on outlined NASA standards.
  • Make improvement recommendations and participate in process improvement activities.
  • Review and update OCIO information in the provided system of record.
  • Track and manage activities regarding open audit recommendations.
  • Prepare request for closure and request for extensions on completed or deferred audit recommendations for review.
  • Maintain AL records, documents, files, and artifacts.
  • Provide a monthly OCIO Audit Status Report.
  • Provide consolidated listings of closed and open audit recommendations for use in external briefings as requested.
  • Provide support in development of closure package or requests for extension of audits.
  • Attend relevant meetings to capture attendance, minutes, and actions resulting from the meeting (s). Track any actions to closure. Maintain and submit conference attendance records.
  • Schedule and facilitate audit conversations as required.
For a Remote or Hybrid position, the employee must have a reliable internet connection and be able to VPN into the NASA network to conduct work.
Remote, hybrid, and onsite positions the employee bears travel costs to nearest NASA Center for badging and issue of NASA IT equipment.
Education and Experience:
Minimum Education: BS or BA degree in Business Administration or a related field.
Minimum Experience: 3-5 years of relevant experience required.
Minimum Qualifications:
  • Knowledge of policies and procedures, regulations, and audit processes.
  • Excellent communication and interpersonal skills.
  • Detail orientated with the ability to manage multiple high priority deadlines.
  • Advanced knowledge of Microsoft Excel.
  • Ability to work independently and collaboratively in a remote work environment.
  • Proficiency in relevant software applications (Microsoft Office, Microsoft Teams, etc.)
  • Excellent customer service skills.
  • Experience performing analytical and administrative tasks.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office 365 (Power Apps, Lists, Planner, Power BI, Word, Excel, PowerPoint, Outlook, Teams, OneNote, OneDrive), SharePoint, and Box.
Preferred Qualifications:
  • Process improvement experience preferred.
