Assistant Facility Manager - USPS Account Program Management Office (PMO) - JLL
What this job involves: As an Assistant Facility Manager for our USPS Account Program Management Office, you'll serve as a critical operational coordinator supporting one of JLL's most significant client partnerships. This dynamic role combines facility management, vendor coordination, and program administration to ensure seamless service delivery across multiple locations. You'll be at the center of communication between clients, vendors, and internal teams, managing high-volume daily operations while maintaining exceptional service standards. This position offers an exciting opportunity to develop your project coordination and facility management expertise within a fast-paced, mission-critical environment where your organizational excellence and problem-solving skills will directly contribute to client satisfaction and program success.
What your day-to-day will look like:
  • Manage high-volume daily communication with USPS clients, external vendors, and internal JLL teams to ensure seamless program operations and service delivery.
  • Oversee the JLL vehicle washing application, monitoring daily compliance with statement of work requirements and coordinating vendor performance.
  • Generate and distribute daily and weekly reports to clients, JLL leadership, and stakeholders, tracking program metrics and performance indicators.
  • Coordinate cross-functional project meetings with internal account teams and external stakeholders, preparing agendas, documenting meeting notes, and tracking action items to completion.
  • Support vendor onboarding processes, prepare vendor documentation, and schedule service coordination meetings to maintain quality standards.
  • Monitor program risks and escalate issues appropriately, collaborating with team members to develop effective solutions and maintain service continuity.
  • Create and maintain comprehensive process documentation and playbooks for all program activities, ensuring consistency and knowledge transfer across the team.

Required Qualifications:
  • 2-4 years of experience in a facility coordinator, project coordinator, or similar operational support role.
  • Advanced proficiency with Microsoft Office Suite, particularly Excel, including experience working with large data sets and creating reports.
  • Demonstrated ability to manage multiple concurrent projects, tasks, and deadlines in a fast-paced environment with minimal supervision.
  • Excellent verbal and written communication skills with proven ability to interact professionally with diverse stakeholders at all levels.
  • Strong organizational and time management capabilities with exceptional attention to detail and accuracy.
  • Experience coordinating activities, events, or operational programs that require vendor management and stakeholder collaboration.
  • Customer service orientation with ability to foster positive, collaborative relationships and resolve conflicts effectively.

Preferred Qualifications:
  • Experience supporting government contracts or working within regulated environments.
  • Familiarity with facility management operations and service delivery models.
  • Background in vendor performance monitoring and compliance tracking.
  • Experience with project management software or facility management platforms.
  • Knowledge of process improvement methodologies and efficiency optimization techniques.

Estimated compensation for this position:
50,000.00 - 75,000.00 USD per year
