Job description

New England Aquarium offers a variety of volunteer programs to meet the needs and interests of people seeking to engage in and support our mission to protect the blue planet. The Volunteer Engagement Manager works with teams across the organization to identify and design rewarding opportunities and oversee all aspects of the programs, including recruitment, interviewing, and onboarding. They also partner with environmental and community organizations around greater Boston to design and deliver offsite service projects supporting conservation efforts like cleanups, invasive removal, and species monitoring. In addition, the Manager serves as the primary system administrator for the volunteer management platform in Salesforce and takes the lead in facilitating the planning of service projects, events, and recognition initiatives.

Along with other members of the team, the Manager serves as a resource for volunteers and interns, and their managers, responding to inquiries, providing guidance and support, and maximizing technology and efficiencies to ensure exceptional service and response times.

This is a full-time regular position offering a comprehensive benefits package. The schedule will be Tuesday – Saturday. Work will be conducted onsite on Tuesdays, Wednesdays, and a third day which will rotate between Fridays and Saturdays. The role has the option to work the remaining two days remotely. Shifts have a flexible start time between 8am – 10am. Remote days are only available for residents of MA, RI, NH, ME, NY and VT.

ESSENTIAL FUNCTIONS

  1. Works with Associate Director, Volunteer Programs & Internships to vet new volunteer positions. Responsible for designing appropriate job descriptions and recruitment strategies; reviews and recommends improvements to internship recruiting, onboarding, communication, and professional development practices and processes.
  2. Responsible for the posting and communication of volunteer positions, and networking with colleges with the goal of attracting a diverse pool of applicants. Acts as the primary recruiter at college volunteer and internship fairs, and other relevant events. Maintains a high level of knowledge about departments and jobs at the Aquarium. Identifies appropriate candidates for open positions and presents them to the department for consideration.
  3. Reviews up to 100 volunteer applications and interviews 30-50 applicants each month.
  4. Serves as liaison to candidates, communicating status updates regularly. Responds to a high volume of telephone and email inquiries from potential volunteers and interns in a timely fashion and demonstrates superior customer service. Responsible for managing the volunteer application process in Salesforce (an automated, online system) to increase internal efficiencies, including initial transition, troubleshooting, and continued maintenance.
  5. Serves as the primary administrator for the Salesforce volunteer management system. Maintains and updates the system as needed to ensure security and efficiency. Assists colleagues and users with training, record-keeping, and reporting; creates detailed full-picture profiles of every volunteer participant within the Salesforce database and maintains all internship records, schedules, service hours, benefits information, and detailed communications records.
  6. Partners with internal and external partners, consultants, and evaluators to deliver upon requisites of an expansive episodic service program aimed at delivering field service projects throughout Greater Boston. Coordinates the design and implementation of service events, including working with the agency to develop logistics, service learning, appreciation components, and providing onsite supervision when necessary. Acts as a communications liaison relating to all offsite service initiatives, including interacting with partner agency staff, developing project profiles, and disseminating information to Service Leaders. Works with Associate Director and Service Leaders to develop service-learning curriculum related to all Live Blue™ service initiatives.
  7. Lead the design, planning, and implementation of Volunteer and Intern-related events, recognition initiatives, and community-building activities.
  8. Contributes to ongoing communications, newsletters, and social media efforts relating to Volunteers and interns. Works with the VPI team to design and implement regular reporting, storytelling, and dashboards to increase program transparency and communicate the value of interns to all stakeholders.
  9. Oversees 1-3 VPI Volunteers &/or Interns at any given time, increasing the capacity of VPI by delegating tasks and projects, overseeing progress, and ensuring successful execution of duties.
  10. Performs other position-related duties as assigned.

QUALIFICATIONS

Minimum Training and Experience

  • Requires a bachelor's degree and 4 years of related experience.
  • Experience recruiting, interviewing, and onboarding with proven results attracting diverse talent is required.
  • Experience administering a database, including system configuration and data reporting required.
  • Experience managing a high volume of incoming and outgoing communication in a Human Resources or Customer Service setting is required.
  • Experience with project management and leading administrative or customer service functions.
  • Experience building collaborative partnerships with community organizations and educational institutions in the greater Boston area.
  • Experience tracking and maintaining high volumes of communication and data in systems such as MS Office, Mailchimp, Form Assembly, Salesforce, and applicant tracking systems preferred.

Knowledge, Skills, and Abilities

  • Strong interpersonal skills and experience working with a broad range of people, including teens and adults from diverse racial/socioeconomic populations in a customer service-related capacity.
  • Excellent verbal and written communication skills. Experience writing in a business setting preferred.
  • Highly detail-oriented and organized with administrative experience in a fast-paced environment.
  • Self-motivated with strong problem-solving skills and an ability to work independently and in a team.

  • A valid driver's license is preferred for attending recruitment fairs.
