As an Executive Support & Communications Associate, you'll join a high-impact team supporting proprietary technology initiatives and strategic proposal development for government contracts. This role blends executive support, document management, and confidentiality oversight across mission-critical systems and digital assets. You'll work closely with senior leadership and cross-functional teams to ensure operational excellence and compliance in a fast-paced, high-stakes environment.

Job Description
We are seeking a detail-oriented and proactive Executive Administrative & Strategic Support professional to join our team. The ideal candidate will support proprietary systems and manage the proposal library, ensuring compliance, confidentiality, and operational efficiency. This role requires strong organizational skills, technical proficiency, and the ability to collaborate with executives and cross-functional teams.
Position Responsibilities
• Provide executive-level administrative support including calendar management, meeting coordination, and sensitive correspondence handling.
• Assist in preparing and managing NDA documentation for personnel involved in proprietary systems.
• Track future and current opportunities in the company pipeline, keeping leadership informed of emerging and upcoming pursuits.
• Support the reorganization and maintenance of the SharePoint-based proposal library, ensuring version control and document accessibility.
• Coordinate with business development, capture, and technical teams to ensure proposal content accuracy and compliance.
• Maintain secure repositories for contracts, NDAs, and proposal artifacts, ensuring alignment with legal and branding standards.
• Liaise with internal teams and external partners to support proposal development and strategic meetings.
• Track action items and follow-ups from executive and capture strategy sessions.
• Handle confidential data with discretion and ensure compliance with corporate and federal standards.
Qualifications
• Ability to manage multiple high-priority initiatives with precision.
• Skilled in document libraries, metadata tagging, and permission management in SharePoint.
• Strong ability to draft, format, and refine executive-level documents.
• Familiarity with MS Office, Adobe, SharePoint, and proposal tools.
• Trusted to manage confidential data and represent executives professionally.
Preferred Requirements
• Experience supporting DoD or federal proposal efforts.

Work Location
