IT Program Delivery Coordinator
Client: Seattle Public Schools
Department: Department of Technology Services - Student Systems and Support Team
Location: Remote (Must reside in Western Washington) with occasional onsite work at John Stanford Center for Educational Excellence
Duration: Initial contract from July 1, 2026 through August 31, 2026, with strong possibility of long-term extension based on performance and funding approval for the new fiscal year.
Position Overview
Seattle Public Schools is seeking an experienced IT Program Delivery Coordinator to support the Student Systems and Support Team within the Department of Technology Services. This role will partner closely with the IT Manager to coordinate operational activities, releases, communications, scheduling, and process improvements across a large portfolio of enterprise student systems.
This is a coordination and operational support role - not a people management position. The ideal candidate will be highly organized, collaborative, and experienced in IT service delivery, Agile coordination, and enterprise application operations.
The 17-member team supports both vendor-hosted and internally developed applications critical to district operations.

Key Responsibilities
  • Coordinate daily operational activities including incidents, requests, releases, hotfixes, upgrades, and seasonal processes.
  • Facilitate daily stand-ups, meetings, and coordination across operational and project teams.
  • Manage operational calendars including bi-weekly releases, tri-annual upgrades, and end-of-year activities.
  • Coordinate environment preparation, UAT, regression testing, defect tracking, security reviews, and production implementations.
  • Represent the team during departmental change management meetings.
  • Develop communication plans for outages, releases, and system changes.
  • Translate technical information into user-friendly communication for executive leadership, business stakeholders, and non-technical teams.
  • Partner with IT leadership to improve operational procedures, SLAs, support processes, and workflow efficiency.
  • Assist with ServiceNow workflow enhancements and operational dashboards.
  • Maintain operational documentation, SOPs, requirements documents, templates, and reporting dashboards.
  • Coordinate activities with vendors, third-party providers, and internal technology teams.
  • Support operational improvements and long-term sustainability initiatives for enterprise systems.
Required Qualifications
  • 5+ years of experience coordinating IT operations, service delivery, or enterprise application projects.
  • Hands-on experience with ServiceNow or similar ITSM/work management platforms.
  • Experience supporting Agile, Scrum, or Kanban delivery models.
  • Experience coordinating releases, system changes, testing, or UAT activities across multiple stakeholders.
  • Strong written and verbal communication skills with the ability to explain technical topics to non-technical audiences.
  • Excellent organizational, analytical, and problem-solving abilities.
  • Experience creating and maintaining process documentation, procedures, and requirements.
  • Ability to work independently in a fast-paced environment.
  • Bachelor's Degree or equivalent combination of education and experience.
Preferred Qualifications
  • Experience supporting Student Information Systems (SIS), especially PowerSchool.
  • Experience working in K-12 education or large public sector environments.
  • Experience configuring ServiceNow workflows, including SPM and CWM modules.
  • Certifications such as PMP, PgMP, Scrum, PMI-ACP, ITIL, or Six Sigma/Lean.
  • Background in systems administration or enterprise application support.
  • Experience with cloud-hosted applications, migrations, or enterprise integrations.
  • Familiarity with IT security, compliance, and governance practices.
  • Experience managing vendor relationships and third-party coordination.
  • Understanding of technical debt management and long-term platform sustainability.
