Job description

What You'll Do
As an Executive Assistant, you will be responsible for providing a broad range of administrative support to the VP, Corporate Strategy and Development and their direct reports.
Here are some of the activities you will be doing:
  • Independently manage schedules for VP, Corporate Strategy and Development, a department identified by business-driven value, ensuring overall alignment with business priorities and enterprise strategy. May include but not limited to: managing all aspects of scheduling including: responding to invitations and requests, making priority decisions on behalf of the VP, negotiating with others to find optimal meeting availability. Additionally, oversee tactical meeting coordination (scheduling and room set-up, catering, proactively coordinate agendas, gather pre-meeting materials, draft/edit meeting and presentation materials, distribution list maintenance, and may attend meetings to capture action items and proactively follow-up on those items to ensure completion). Act as a liaison for the VP in conjunction with the department.
  • Provide moderate to heavy inbox management (deleting junk, categorizing and filing, flagging messages for importance and time sensitive response necessary). Make recommendations on the most efficient and effective way for the VP to organize their work. Connect various channels of information/communications together to make assessments and assist in prioritizing information for the VP.
  • Coordinate/draft/edit documents as needed, order supplies, manage role and access requests, assist with onboarding new employees (order technology, information access, security, schedule appropriate meetings, gather/assemble relevant PFG/BU/SCBU/department information), research and book travel arrangements, expense management (submit/approve purchase/travel card expenses, track department expenses and submit invoices). Complete HR tasks on behalf of VP. Manage information through multiple technology channels, handling requests for new technology (i.e., SharePoint, Box, Clear ID, etc.). Set-up/maintenance of department and team shared sites and process flow of information. Provide high-level training/guidance on how to navigate technology platforms such as Chrome River and Concur along with other department specific technology platforms. Backup for team members.
  • May be involved in a variety of business-value driven department or business-wide projects.

Who You Are
  • 6+ years of related experience or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, or education. High school diploma required, associate degree preferred.
  • Experience coordinating travel arrangements and detailed calendar management - observing relationships between required professional, community, and personal commitments.
  • Strong organizational skills, high attention to detail, and strong desire for accuracy.
  • Excellent verbal/written communication (including grammar and spelling).
  • Ability to present as an executive presence working with internal and external stakeholders practicing confidentiality and a high level of professionalism.
  • Ability to gather and consolidate data from various sources.
  • Ability to prioritize assignments, adapt to changes in daily tasks when necessary, multi-task throughout each day, and meet deadlines.
  • Flexible and adaptable to rapidly changing priorities.
  • Responsible for managing highly sensitive and confidential information both internally and externally with discretion, ensuring privacy and security in all communications and documentation.
  • Keyboarding and adaptability in computer, web and mobile business applications, proficiency in Windows based computer applications (Microsoft Office) and the operation of office equipment.

Salary Range Information
Salary ranges below reflect targeted base salaries. Non-sales positions have the opportunity to participate in a bonus program. Sales positions are eligible for sales incentives, and in some instances a bonus plan, whereby total compensation may far exceed base salary depending on individual performance. Actual compensation for all roles will be based upon geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer.

Time Off Program

While we're open to remote opportunities nationwide, we will put an initial focus on those who are local to our Des Moines, IA locations. If you are local to our Des Moines, IA office, this will be a hybrid opportunity and should be comfortable with a flexible schedule, as the number of days worked onsite may change based on operational needs, team collaboration requirements, and business priorities.
