Job description

Tending is a US-based service that restores and cleans headstones and monuments at cemeteries across the country — preserving the dignity of final resting places for families who have lost someone. We are a remote-first team building the infrastructure that connects clients, field contractors, and coordinators across dozens of cities. Our operations run through a custom app, HubSpot CRM, and a tight set of processes we are now scaling fast.

About the Role We are looking for one person to take full ownership of our order fulfillment process — from confirmed payment to final client approval. This is not a role for someone who wants to delegate from day one. We need someone who dives into the work, masters every detail, and only then builds and leads a team around the process.

The Role As Operations Manager, you will be the single point of accountability for every order. You'll work directly with our Sales Reps, Coordinators, and field contractors to ensure every job is completed on time, to standard, and without surprises.

This role evolves in two phases: You run the process yourself: manage orders, coordinate contractors, resolve ground-level issues, and keep every stage moving. Phase 2 – Head of Operations (Month 8+) Once you've mastered and documented the process, you'll build your own team — hiring, training, and managing coordinators. You'll own the department, set the standards, and report directly to the founders.

What You'll Own End-to-end execution of Tending Work Orders pipeline in HubSpot Contractor assignment by location and availability Cemetery access coordination and notifications First Touch review: approve contractor before-photos within 30 minutes of upload Quality Assurance: review after-photos against Tending standards Client report delivery: coordinate before/after report generation and sending Rework management: handle client dissatisfaction, coordinate corrections, close the loop SLA compliance: ensure no order stalls beyond defined time limits Escalation handling: ghosted contractors, failed QA, access issues, emergency replanning Process documentation: turn every exception into a repeatable procedure What We're Looking For 3+ years in operations, coordination, or project management Fluent in English (written and spoken) – you'll work daily with a US-based team and occasionally with clients Experience with CRM systems (HubSpot strongly preferred) Extremely organized – you track everything, miss nothing, and follow up without being asked Strong decision-maker under pressure – you solve problems in real time without waiting for permission Remote work discipline – self-managed, responsive, and accountable for outcomes Domain knowledge — required Our contractors perform headstone cleaning, stone restoration, and monument repair. You do not need to do the physical work — but you must understand it well enough to review it, catch mistakes, and have credible conversations with contractors in the field. We are looking for someone with a solid working knowledge of: Stone and masonry — types of stone (granite, marble, limestone, sandstone), how they behave, and how they are cleaned, sealed, or repaired Surface restoration — understanding the difference between cleaning, polishing, grinding, and sealing; knowing when each method applies and what can go wrong Construction and trade fundamentals — basic familiarity with tools, materials, and contractor workflows used in stonework, masonry, or monument restoration Quality assessment — ability to look at before/after photos of stone work and judge whether the result meets a professional standard This knowledge can come from any background: construction management, stone fabrication, masonry, monument care, landscaping, or general trades experience.

What matters is that when a contractor tells you 'the stone discolored after the chemical' — you understand what happened and what to do next.
