Our law firms specialize in probate litigation. Their commitment to excellence and client-focused approach has established them as a trusted legal partner. We are seeking a dedicated and organized Legal Assitant to join their team remotely.

Position Overview: The ideal candidate will support our attorneys in estate planning, probate, and litigation matters.

This role requires strong organizational skills, attention to detail, and familiarity with court procedures, deadlines, and document preparation.

Key Responsibilities:

Document Preparation & Filing

  • Draft routine correspondence to clients, court personnel
  • E-file probate documents and forms in Surrogate’s Court (NYSCEF or county-specific systems, if applicable) including petitions for probate/administration, notices, waivers, consents, citations, inventories, affidavits, and accountings
  • Maintain organized electronic case files.

Client & Case Management

  • Serve as primary point of contact for clients, heirs, beneficiaries, fiduciaries, and court clerks.
  • Assist clients with completing questionnaires, gathering required information, and ensuring all supporting documentation is received.
  • Track and calendar deadlines, court dates, publication dates for citations, and other time-sensitive requirements.
  • Schedule meetings, court appointments, notary and witness signings.

Estate Administration Support

  • Request and obtain death certificates, asset information, tax statements, and financial records needed for estate proceedings.
  • Assist with preparation of estate inventories and estate accounting schedules.
  • Coordinate communication with financial institutions, insurance companies, and government agencies.
  • Maintain detailed checklists and timelines for each estate file.

General Administrative Duties

  • Manage attorney calendars, email correspondence, and phone calls from clients and potential clients.
  • Perform online notary duties.
  • Support the attorney and paralegal with special projects and litigation-related tasks when necessary.

Required Skills & Qualifications:

  • 2+ years experience as a Legal Assistant
  • Very advanced Proficiency in Microsoft Office (Word, Outlook, Excel) and legal document management systems.
  • Excellent written and verbal communication skills.
  • Strong organizational ability and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Professional demeanor and ability to work with grieving families.
  • Able to thrive under pressure.
  • Ability to work independently with minimal supervision.
  • Professional attitude and demeanor.
  • Demonstrated ability to understand complex situations and make informed decisions.

Preferred Qualifications:

  • Experience in probate, litigation, and estate planning.
  • Experience with Surrogate’s Court filings.
  • Familiarity with NYSCEF or e-filing systems.
  • Online Notary Public commission
  • All of the above are not essential
