Position Summary

We are seeking a detail-oriented and highly organized Sales Support Specialist to support sales management and sales team across all markets.

The ideal candidate will coordinate CIF submissions, collect vendor documentation (such as W-9s and payment details), and partner closely with Finance to ensure accurate setup of consultants in Oracle/Netsuite. This role will also provide administrative support to the sales organization by assisting with proposals, tracking contracts and licensing requirements, maintaining customer records, and supporting sales reporting and forecasting efforts.

This position is ideal for someone who thrives in a fast-paced environment, enjoys improving processes, and can effectively communicate across departments.

This role can be remote in the Columbus or Cincinnati area, or Hybrid based in our Raleigh, NC Headquarters.

Key Responsibilities

  • Manage the end-to-end workflow for sales including vendor onboarding, coordinating CIF submissions and ensuring all required documentation is collected and validated.
  • Partner with Sales Leaders and internal teams to ensure consultants are accurately set up in Oracle/Netsuite.
  • Provide administrative and operational support to the sales team.
  • Assist with preparing and organizing sales proposals and supporting materials.
  • Track sales contracts, key dates, renewals, and licensing/permit requirements to ensure compliance and timely execution.
  • Maintain and update customer records and related documentation in internal systems and CRM tools.
  • Support the sales organization with pipeline tracking, forecasting support, and reporting.
  • Coordinate and communicate across Sales, Finance, and other departments to ensure processes run smoothly.
  • Identify opportunities to improve workflows, documentation, and tracking processes.
  • Up to 10% travel.

Qualifications

  • 2+ years of experience in sales operations, contract coordination, or a similar role.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Experience working with Microsoft Office tools (Excel, Word, Outlook, PowerPoint, Teams).
  • Experience with CRM systems (Salesforce or similar) preferred.
  • Ability to manage multiple tasks and track deadlines in a fast-paced environment.
  • Strong communication and cross-department collaboration skills.
  • Experience supporting sales teams, contracts, or vendor onboarding processes is a plus.
  • Familiarity with financial systems such as Oracle and/or NetSuite or similar platforms is a plus.
