Advancement Services provides timely, accurate and actionable resources to enhance fundraising and engagement activities at NC State University. Advancement Services supports the operations of Alumni Engagement and Annual Giving and University Development as well as college and unit advancement offices. The unit oversees the University's alumni & donor database (Ellucian's Advance Web solution), analytics and reporting systems, processing gifts and conducting research about potential contribution opportunities. Advancement Services also maintains financial records, conducts donor research, receipts private gifts following the NC State Standard Operating Procedures for Acceptance of Gifts, administers the corporate matching gifts program, updates & verifies alumni records, plans and manages gift agreements & endowment reports.

Essential Job Duties
The Donor Services Specialist ensures that all gift agreements and related processes, many of which are legally binding, are developed and managed in compliance with university, foundation, federal, and state policies and practices. Donor Services seeks a candidate who thrives in a fast-paced, innovative team environment. 
The ideal candidate will possess exceptional writing skills, strong analytical and problem-solving abilities, and the capacity to manage multiple detail-oriented responsibilities simultaneously while collaborating closely with frontline fundraising staff. This position reports to the Associate Director of Donor Services.
Other Responsibilities
Key Responsibilities:
  • Draft, review, and approve standard gift agreements, corporations and foundations agreements, and distinguished professorships agreements.
  • Evaluate gifts and gift agreements for compliance with IRS regulations, CASE standards, university policies, best practices, and Advancement operational guidelines.
  • Coordinate the review process and serve as a liaison with General Counsel, Scholarship and Financial Aid, Foundation Accounting and Investment, Procurement, Sponsored Research, the Provost's Office, the UNC System Office, and Sponsorships.
  • Develop talking points and supporting materials for frontline fundraisers.
  • Track, monitor, and manage gift agreement workflows to ensure timely review, execution, and completion of agreements.
  • Conduct research related to gift agreements, charitable giving, donor intent, and applicable laws, regulations, and best practices to support decision-making and policy development.
  • Maintain accurate records and documentation related to gift agreements and associated processes.
Qualifications
Minimum Education and Experience
  • Bachelor's degree in a discipline related to the area of assignment; or an equivalent combination of training and experience.
Other Required Qualifications
  • Demonstrated ability to work independently,
  • Ability to collaborate closely with the team and external partners.
  • Effective verbal and written communication.
  • Advanced Proficiency in Microsoft Applications (e.g., Word, Excel, PowerPoint, etc.) and Google Workspace Suite.
  • Ability to quickly learn new software applications.
  • Excels in utilizing technology in everyday work, problem-solving, and process improvement.
  • Exceptional problem-solving and analytical skills.
  • Experience working with confidential information.
  • Excellent customer service skills.
  • Exceptional attention to detail.
  • Knowledge of legal contract writing and negotiating.
  • Expertise in writing, including use of English grammar, punctuation, spelling and syntax.
  • Ability to conduct independent research.
Preferred Qualifications
  • Previous experience in one of the following: advancement services, donor relations, donor services, gift compliance, gift administration, communications, stewardship writing, development, fundraising, research related to fundraising, reporting, legal writing, contracts, grant writing or related field preferably in large/complex organizations such as higher education, private school, foundation, health care systems or non-profit.
  • Experience in professional writing and editing.
  • Experience in project tracking software such as Smartsheets.
  • Database system and process tracking experience.
