MoveOn is seeking a detail-oriented and proactive coordinator to support our Finance and Operations Team. This role provides hands-on experience in multiple realms of work within the team, including budgeting, contracts administration, record-keeping, and business compliance.
The Temporary Finance and Operations Coordinator plays a key role in supporting the smooth and effective functioning of the Finance and Operations Team. By providing flexible, day-to-day support across several work realms, this role helps the team maintain the stability and versatility needed to support MoveOn's mission in strategic and impactful ways.
Working in close collaboration with team members, the Coordinator assists in operational functions such as contract administration, accounts payable, record-keeping, account management, campaign finance reporting, and business compliance. The role also supports MoveOn's adherence to internal policies and applicable state and federal regulations. Responsibilities and key focus areas may shift throughout the year based on project timelines, organizational priorities, and coverage needs during team outages.
Responsibilities:
  • Play a key role in improving and supporting our annual 1099 issuance process.
  • Assist in researching credit card expense management vendors.
  • Assist with campaign finance and lobbying reporting.
  • Assist with contract processing.
  • Support invoice processing and payments.
  • Support organizational governance needs.
  • Review company credit card expenses.
  • Follow up with staff to ensure administrative tasks are completed on time.
  • Create instructional videos and guides for staff on administrative tasks
  • Document team workflows and creating step-by-step guides
  • Identify and implement improvements to processes within their scope of work.
  • Contribute to other administrative and operational tasks as needed.

Required skills and experience:
  • 1-2 years experience in finance, operations, and/or business compliance
  • Experience preparing and issuing annual 1099 forms
  • Comfort working in a fully remote environment
  • Familiarity with Google suite of products, including docs, sheets, drive, etc.
  • High level of adeptness and confidentiality with sensitive data and information
  • Demonstrated commitment to furthering social justice

Preferred skills and experience:
  • Experience in creating instructional guides or Standard Operating Procedures
  • Familiarity with the following tools: Bill, Ramp and Agiloft

Reports to: Director of Finance and Operations
Location: Position may be based anywhere in the continental United States.
Classification, Salary and Benefits: At MoveOn, we commit to equity in our compensation philosophy and practices. We are committed to equal pay for equal work. To counter systemic compensation issues in this country and pay inequality, we have a nonnegotiable compensation practice. We utilize benchmarking and peer organization data to ensure we provide competitive nonprofit compensation and benefits. The pay for this position is $39.67/hour. In addition to the base salary, we offer a monthly home office subsidy. We also offer an internet and phone subsidy of $2,100 annually and a health and wellness subsidy of $900 annually. All of these cash benefits are added to your bimonthly paycheck. We offer strong medical, dental, and vision benefits, which are free to employees and children of employees (spouses or domestic partners can be added at a subsidized rate). We offer employer-paid premiums for life insurance; four weeks accrued paid vacation time per year, prorated for the period that you work; 18 weeks of paid parental leave (birth, adoption, foster care placement of a child), 10 days accrued paid sick time prorated for the period that you work; paid family medical leave; and 8 staff holidays and 6 floating holidays. We contribute 5% to your 401(k) after six months of employment. We also offer a $1000 in professional development budget each year for each staff member.
