The Event Coordinator willbe responsible forthe development, management and executionof eventsdesignatedas field, regional, and national. This will encompass all live, and virtual if applicable.This is a highly cross functional role, both within the marketing function and the Sales Team at large.
Will provide guidance to theglobalSales Team to manage multiple events as planned for the benefit of enriching the relationship with Telarus Agents.Additionallysupportingbygenerating engagement with our partners whilemaintaininghigh standardsof quality and a keen eye to efficiency, repeatability, and budget management.

Essential Functions:

  • Event Management
  • Source andprocurevenues, speakers, hotels, networking, food & beverage, other needed event items.
  • Coordinate site inspections as needed.
  • Vendor Management
  • Manage and negotiate contracts for all vendorsrequiredfor event in collaboration with management.
  • Hotel, Meeting Space, Food & Beverage, AV, Music/Speakers, Transportation Services, Excursions, Sport Facilities, etc.
  • Event Registration Management
  • Create and manage virtual event registrationprocess. Use tools such as Zoom and RingCentral to create and manage registrations.
  • Create and manageonsiteevent registration process.Use Cvent to build and manage registration process.
  • Work withSalesTeam to secureinviteelist & manage weeklyregistrationreports.
  • Work withMarketingSponsorship Coordinator to ensure that Supplier Sponsors areidentified, invoiced and registered for event.
  • Event Budget Management
  • Create budget, communicate event budget, manage event expenses, and reconcile budget after event.
  • Work withMarketingSponsorship Coordinatorto build sponsorship documentation.
  • Obtain Purchase Orders from Finance as needed for payment to vendors.
  • Submit all invoices related to an event to Accounts Payable to Finance.
  • Responsible for helping Marketing reach yearly OKR set around budget management.
  • Ability to build budgets with justification and validated assumptions to explain marketing plan, impact, and ROI.
  • Graphic Management
  • Work with Event Contractor for creation of all event graphics for Cvent registration
  • Work with Event Contractor for creation of all social, signage, workbooks,PowerPointsor any required graphic need
  • Work with a trusted vendor to have all materials printed and shipped to the event
  • Relationship Management
  • Engage management as needed for event budget review and approval.
  • Collaborate with Marketing,Marketing Sponsorship Coordinator& Sales Team toidentifyand secure event sponsorship.
  • Travel
  • This job will require travel asrequiredto attend and execute an event on site.
  • Travel ofone week or more per month may berequired.
  • Other Duties as Assigned

Requirements

  • 2+ years ofexperiencein the event management space.
  • 1+ years B2B experience with preference given to Channel business or Enterprise & SMB focused B2B software/services experience
  • Demonstrated ability to manage business and expense ROI on a full event program, including sponsor recruitment and MDF management for the event programs
  • Have collaboratedeffectively withaSalesTeamto achieve results - builtdeep relationshipswhereyou were atrusted partnerin the full management of the events.
