Position Summary
Seeking a detail-oriented Part-Time Medicare Administrative Assistant to support our growing Medicare insurance agency. This role will assist with CRM management, appointment scheduling, client communications, compliance-related administrative tasks, and preparation of required Medicare documentation.
Responsibilities
CRM Management
- Update and maintain client records in CRM
- Enter leads and track follow-up activities
- Monitor renewal and review opportunities
- Keep notes and client information organized
Scheduling
- Schedule Medicare reviews and appointments
- Manage agent calendars
- Confirm appointments via phone, text, and email
- Reschedule and coordinate client meetings
Client Communication
- Answer inbound calls
- Return client messages
- Send appointment reminders
- Follow up on requested documents
- Assist with customer service inquiries
Medicare Compliance Support
- Ensure required documentation is completed before appointments
- Maintain compliant client records
- Assist with annual enrollment period administrative tasks
General Administrative Support
- Email management
- Document organization
- Data entry
- Preparing client packets
- Basic reporting
Qualifications
- Strong phone and communication skills
- Highly organized and detail-oriented
- Comfortable using CRM systems
- Microsoft Office / Google Workspace experience
- Ability to handle confidential client information
- Medicare insurance experience preferred but not required
- Experience with AgencyBloc, MedicareCENTER, SunFire, HubSpot, Salesforce, or similar systems is a plus
Hours
- 15–25 hours per week
- Flexible schedule

As a Medicare Administrative Assistant, you'll work directly with Alex to support client communications, appointment scheduling, CRM management, and Medicare-related administrative tasks.
