Job description

The Accounting Clerk is responsible for supporting the day-to-day accounting functions of the property management office by processing vendor invoices, maintaining accurate financial records, and performing routine administrative accounting duties. This position requires strong attention to detail, excellent organizational skills, and the ability to work efficiently in a fast-paced environment while maintaining confidentiality.

Essential Duties and Responsibilities

Accounts Payable

  • Process vendor invoices accurately and in a timely manner.
  • Verify invoices for accuracy and obtain appropriate approvals.
  • Enter vendor invoices into QuickBooks.
  • Process vendor payments through QuickBooks by check or ACH.
  • Maintain vendor records, including W-9s and contact information.
  • Assist with annual 1099 preparation.

Accounts Receivable

  • Process miscellaneous receipts.
  • Monitor delinquent accounts and communicate payment issues to management.

Administrative Support

  • File and maintain accounting documents electronically.
  • Prepare bank deposits and verify daily receipts.
  • Maintain organized accounting files.
  • Assist with data entry and other clerical accounting tasks as assigned.
  • Answer accounting-related phone calls and direct inquiries to the appropriate staff member.

Compliance

  • Maintain confidentiality of financial information.
  • Follow company policies and established accounting procedures.
  • Ensure accounting records are complete and accurately maintained.

Qualifications

Education

  • High school diploma or GED required.
  • Associate degree or coursework in Accounting, Finance, or Business is preferred.

Experience

  • One to two years of bookkeeping, accounting, or office experience preferred.
  • Experience with QuickBooks is preferred.
  • Experience with AppFolio or other property management software is a plus.

Required Skills

  • Strong attention to detail and accuracy.
  • Basic bookkeeping and accounting knowledge.
  • Strong organizational and time management skills.
  • Proficiency with Microsoft Excel, Word, and Outlook.
  • Ability to learn accounting and property management software.

Physical Requirements

  • Ability to sit for extended periods while working on a computer.
  • Ability to lift up to 25 pounds occasionally.
  • Ability to operate standard office equipment.

Work Schedule

  • Full-time or Part-time position available, depending on the needs of the company and the qualifications of the selected candidate.
  • Monday through Friday.
  • Work schedule to be determined at the time of hire.
