Job description

Job Title: Meeting & Events Coordinator

Industry: Medical Devices / Healthcare / Orthopedic Medical Technology

Position Details

  • Duration: 1 Year Contract
  • Schedule: Part-Time (Monday through Thursday)
  • Hours: 8:00 AM – 5:00 PM
  • Total Weekly Hours: 32 Hours


Job Overview

We are seeking a highly organized and detail-oriented Meeting & Events Coordinator to support surgeon meetings, field sales programs, educational events, and administrative operations within the medical device and healthcare industry.

This role is ideal for candidates with strong administrative coordination experience, event management skills, and the ability to manage multiple priorities in a fast-paced healthcare environment.


Key Responsibilities

  • Coordinate meeting registrations for field sales personnel and surgeon meetings.
  • Submit and manage all meeting-related documentation and approvals.
  • Send meeting brochures, invitations, and communication materials.
  • Coordinate special meetings and events, including Mobile Learning Center visits.
  • Support resident programs, patient ID card/P3 programs, and Physician Locator initiatives.
  • Reconcile payments with external vendors for meetings and programs.
  • Coordinate with cadaver vendors to secure lab resources and event materials.
  • Perform general administrative and clerical duties including scheduling, reporting, and correspondence.


Required Qualifications

  • High School Diploma or equivalent required.
  • Previous administrative, coordination, or event support experience preferred.
  • Strong verbal and written communication skills with professional phone etiquette.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Adobe Acrobat, Access, Livelink, DCS, or similar tools is a plus.
  • Ability to work independently and manage priorities effectively.
  • Comfortable working in a fast-paced medical device environment.
  • Ability to lift up to 75 pounds on a non-routine basis.
  • Willingness to travel up to 5% and work overtime when required.
