Job description

Job Title: Archives Specialist
Department/Division: Museum / Historic Resources
Status: Regular, Part-time Employee
Pay: $18.00 per hour
Reports to: Archivist & Records Manager

Jekyll Island is dedicated to maintaining the delicate balance between nature and humankind through conservation, education, and preservation. Surrounded by salt marshes, expansive oceanfront, and ancient maritime forests, it is situated within the chain of the Golden Isles and just a few miles from St. Simons Island, Sea Island, and Brunswick. As a State Park, Jekyll Island is a coastal haven where nature and humans peacefully co-exist.
Job Summary:
Under the Archivist's supervision, the Archives Specialist is responsible for the care, documentation, and preservation of the historical archive collections in the possession of the Jekyll Island Authority. This includes the physical organization, movement, and monitoring of the museum's artifact collections, both in storage and on exhibit. Assists with accessioning, processing, cataloging, inventorying and digitizing items within the Jekyll Island Historic Resources department's historical collections. Also assists in broader records management practices under supervision of the Archivist & Records Manager. This position is will work approximately 20 hours per week.
Description of duties:
  • Under general supervision, provides regular care and monitoring of the collections of the Jekyll Island Authority's Historic Resources department, including accessioning, processing, creating, and updating catalogs records, conducting location inventories, and digitizing of artifacts in the care of the Jekyll Island Historic Resources department.
  • Regularly surveys and inventory's artifact collections storage locations, conditions, and catalog records to identify and recommend collections projects.
  • Implements housekeeping policies and oversees the general care, conservation, and preservation of museum materials, collections spaces, and tour properties to ensure the safety of the collections, and the security of museum holdings.
  • Performs collection research for targeted projects.
  • Creates and maintains electronic catalog records, populating each record with appropriate care and administrative data. Maintains accurate object location data in the museum's collections management database in Past Perfect Software as well as adding to the public Archive site, DSpace.
  • Assists with records management work including records intake, inventory, and disposition and use of records management site.
  • Assists with research requests from staff, students, and the general public regarding general queries, object examinations, and research and photo reproduction requests as requested.
  • Assists with general Historic Resources administration projects and needs.
  • Participates in developing, maintaining, and implementing emergency preparedness and recovery plans, integrated pest management plans, and environmental monitoring plan.
  • Meets and maintains appropriate professional standards.
  • Maintains a cooperative and pleasant work relationship with fellow employees, volunteers, and guests of Jekyll Island.
  • Participates in regular staff development training sessions.
  • Participates in specialty programming as-needed.
  • Performs other duties as assigned

Minimum Qualifications:
  • Bachelor's degree from an accredited institution in museum studies, history, library science, or a related field required.
  • Minimum one (1) year experience managing collections within a museum, collections, archive, records environment.
  • Demonstrated understanding of basic archival principals and standards.
  • Proficient computer skills required, experience with Past Perfect preferred.
  • Excellent written and verbal communication skills required.
  • Strong organizational skills required.
  • Demonstrated ability to work individually as well as cooperatively on a team.
  • Demonstrated ability to work well with co-workers, volunteers, and the public.
  • Ability to handle multiple tasks simultaneously and effectively.
  • Must possess a valid drivers license

Physical Requirements/Working Conditions:
  • Exert up to 50 pounds of force occasionally and/or up to 25 pounds of force frequently and/or up to 10 pounds of force constantly to move objects.
  • More than 50% of the typical workday may be spent walking, sitting, standing and using repetitive motions of the wrists, hands or fingers.
  • Between 25% and 50% of the typical workday may be spent climbing stairs, pushing and pulling.
  • Less than 25% of the typical day is spent balancing, stooping and/or crouching, kneeling, reaching.
  • Sensory abilities required are feeling, grasping and touching with more than 50% of the time spent talking and hearing.
  • Visual abilities to perform tasks required are to operate motor vehicles and determine the accuracy, neatness, thoroughness of work assigned or to make general observations of facilities or structures.
  • The majority of the work is conducted within an inside, office setting, however, on occasion work is performed outside with exposure to extreme heat, high humidity and occasionally adverse weather conditions as well occasional extreme cold.
  • Will be exposed to hazards such as moving mechanical parts and moving vehicles.
  • May be subject to atmospheric conditions such as fumes, oils, odors, dusts, mists, or poor ventilation.
  • Will be subject to close quarters, such as narrow aisles or passageways/hallways.
  • Noise levels are generally considered normal.
