Salary: $25-$30 per hour

Job Title: Development Systems Coordinator


Job Type: Part-Time FLSA Status: Non-Exempt

Schedule: Monday-Friday, approximately 20-25 hours per week, with a regular schedule established between 8:00 a.m. and 4:00 p.m. Flexible scheduling may be available based on departmental needs. Must be willing to work occasional evenings and weekends in support of fundraising events and organizational initiatives.

Job Overview: The Development Systems Coordinator plays a vital role in supporting the Development & Marketing Department by managing the organization's fundraising systems, maintaining accurate donor data, and helping execute fundraising strategies through technology and operational support.

As the primary administrator of Ronald McDonald House Charities of San Antonio's constituent relationship management (CRM) system and connected fundraising platforms, this position is responsible for maintaining database integrity, implementing automation and reporting, managing system integrations, and supporting the technology that powers fundraising campaigns and signature events.

Working closely with the Director of Marketing & Development and development team, the Development Systems Coordinator helps transform fundraising strategy into day-to-day execution while ensuring data, systems, and processes remain accurate, efficient, and donor-focused.

Responsibilities & Duties:

CRM Administration & Data Management

  • Serve as the primary administrator for the Virtuous CRM and maintain accurate donor, household, and organization constituent records.
  • Perform ongoing database maintenance, data cleanup, deduplication, imports, exports, record mapping, and quality assurance.
  • Build reports, dashboards, constituent queries, mailing lists, audience segments, and campaign lists.
  • Partner with the Executive Assistant to support gift processing through reporting, reconciliation, and CRM administration.

Fundraising Technology & Digital Systems

  • Administer and maintain integrations between Virtuous and connected fundraising platforms, including Fundraise Up, GiveSmart, website forms, and other fundraising technologies.
  • Configure and maintain online donation forms, constituent forms, automations, workflows, and system settings.
  • Monitor synchronization, troubleshoot technical issues, and coordinate with software vendors as needed.
  • Support implementation of new fundraising technologies and assist with testing, quality assurance, and ongoing system optimization.

Donor Stewardship & Reporting

  • Build and maintain automated donor journeys, stewardship workflows, and audience segments within Virtuous.
  • Develop reports and dashboards that support fundraising strategy and decision-making.
  • Monitor and optimize CRM workflows to strengthen donor engagement and operational efficiency.

Event Technology & Department Support

  • Support the planning and execution of fundraising events by managing the technology that powers registration, sponsorships, ticketing, auctions, mobile bidding, and onsite fundraising.
  • Manage event platform setup, testing, reporting, troubleshooting, and captured data integration.
  • Provide onsite support with registration, fundraising technology, checkout, and guest experience.
  • Provide administrative and project support for department initiatives and perform other duties as assigned.

Education Level: Associates degree or equivalent professional experience; bachelors degree preferred.


Experience: 1-3 years of experience working with CRM systems, fundraising databases, or comparable data management platforms.


Specific Skills:

  • Strong organizational, analytical, and problem-solving skills.
  • Exceptional attention to detail and ability to manage multiple priorities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong proficiency in Microsoft Excel, including data analysis, formulas, filtering, and PivotTables.


Preferred

  • Experience administering Virtuous CRM strongly preferred but not required.
  • Experience with nonprofit fundraising platforms such as Raiser's Edge, Bloomerang, Salesforce, or similar systems.
  • Experience with CRM automations, donor stewardship workflows, reporting, and audience segmentation.
  • Experience with fundraising and event management platforms such as Fundraise Up, GiveSmart, and BetterUnite.

Physical Demands

  • Constant Ability to communicate with staff, board, funders, outside agencies, community leaders, and others over the telephone and in person.
  • Constant Ability to input data into a computer, make calculations, complete paperwork, and produce reports.
  • Frequent Ability to review and proofread documents to determine accuracy.
  • Frequent Ability to drive safely and recognize hazards.
  • Occasional Ability to lift, stack, load, and move up to 10 pounds from varied heights.
