Job description

Part-Time: 20-30/hours per week
Work for a company where you are known by your name and not by your number. Join Garco's Marketing Department and enjoy a challenging and diverse workload. While you enjoy the journey as our Proposal Coordinator you will need to be highly organized and efficient.
Key Responsibilities will include, among other duties assigned from time to time:
Proposal Management
  • Manage proposal schedules, timelines, and deadlines in collaboration with marketing director.
  • Ensure compliance with client requirements and formatting guidelines.
  • Assist with proposal calendars and submission trackers.

Content Development & Editing
  • Proposal layout and design, supporting graphics and media manager.
  • Compile, write, edit, and proofread proposal content.
  • Customize templates and boilerplate content for each opportunity.

Collaboration & Communication
  • Work closely with project management, technical teams, and leadership.
  • Facilitate proposal meetings as needed (kickoffs, reviews, debriefs)
  • Assign tasks and follow up to ensure timely deliverables.

Compliance & Quality Control
  • Review RFP requirements and check for compliance gaps.
  • Ensure final submissions meet all client specifications
    (formatting, page limits, required forms, attachments, etc.)
  • Conduct quality assurance reviews before submission.

Required Skills & Qualifications
Core Skills
  • Design and layout skills.
  • Strong writing, editing, and proofreading skills.
  • Excellent organization and time management
  • Ability to manage multiple deadlines simultaneously.
  • Attention to detail and accuracy.

Technical Skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Proficiency in Adobe InDesign, Photoshop and Illustrator
  • Experience with Canva helpful
  • Comfortable use of CRM systems and technology

Soft Skills
  • Strong communication and coordination abilities
  • Ability to work under pressure and tight deadlines
  • Team collaboration and stakeholder management

Preferred Qualifications
  • Bachelor's degree in business, Communications, Marketing, or 4-5 years' experience in related role
  • 1-5+ years of experience in proposals, marketing, or administrative coordination
  • Experience responding to RFPs in industries like:
    • AEC (Architecture/Engineering/Construction)
    • Government contracting
    • Professional services
  • Pass a Pre-Employment Drug Test

The salary range for this position is between $25 and $40 per hour, based on experience and qualifications.
