WWE is seeking a detail-oriented and highly organized Talent State Licensing Admin to join the WWE Legal team. This role is responsible for managing end-to-end athletic commission licensing for all WWE, NXT, and Main Roster talent performing at live events across the United States. The Talent State Licensing Admin ensures that every in-ring performer is fully licensed and compliant with state athletic commission requirements - on time, every time, with zero tolerance for error.
This is a full-time, dedicated replacement role that is critical to WWE's live event operations. The ideal candidate thrives in a fast-paced, deadline-driven environment, can manage multiple concurrent workflows, and is comfortable interacting with government bodies, talent, and internal stakeholders at all levels.
Key Responsibilities
Roster & Application Management
  • Build and continuously update event rosters from match cards, including both ring names and legal names, cross-confirmed for each state commission.
  • Complete state-specific licensing applications and all supplemental forms, including pregnancy affidavits, criminal history reporting forms, lawful presence forms, and state-specific physical forms.
  • Pre-fill, send, and track applications through Adobe Sign; monitor outstanding signatures and follow up with Talent Relations and Talent Development

Medical Records & Documentation
  • Request, retrieve, review, and organize physical examinations, bloodwork, passports, visas, identification documents, and other required supporting records.
  • Re-verify medical currency for each event and maintain individual talent folders in Box.
  • Scan, print, merge, label, and convert documents into the formats required by each state commission.

Deadline & Compliance Tracking
  • Track numerous state deadlines and submission windows, including advance-filing requirements, non-business-day restrictions, and event-specific cutoffs.
  • Manage same-day and emergency turnarounds for last-minute talent roster changes, including day-of or night-of additions requiring applications, medicals, identification, signatures, payments, and commission follow-up.
  • Respond to cross-state and same-day emergencies, including preparing licensing for one state while supporting an event in another.

Event Coordination & On-Site Support
  • Prepare cover letters, submission packets, FedEx and overnight shipments, and other event materials.
  • Prepare for and coordinate day-of commission activity, including talent check-in, photo ID review, ring inspection, license verification, locker-room and medical-room checks, ambulance confirmation, physician coordination, security coordination, and state-specific compliance confirmations.
  • Provide or coordinate on-site Legal coverage at select events, including early arrival, commission escort, all-access credentials, on-site communications, and real-time issue resolution.
  • Close out events by collecting post-show reports, physician documentation, tax or venue forms, pregnancy waivers, and other commission-required materials

Financial Processing
  • Process licensing fees, check requests, approvals, AP vendor coordination, and per-event payments.
  • Monitor timing constraints such as check runs and Onbase.

Stakeholder Coordination
  • Serve as a primary point of contact between Talent Relations, Talent Development, Medical, Finance, Operations, WWE physicians, state commissions, on-site inspectors, and event personnel
  • Build and maintain direct working relationships with state athletic commissions, including negotiating commission-specific requirements as needed.

Qualifications
Required
  • 2+ years of experience in a paralegal, legal administrative, or regulatory compliance role.
  • Exceptional organizational skills with the ability to manage multiple high-priority deadlines simultaneously.
  • Strong written and verbal communication skills, including professional correspondence with government agencies.
  • Proficiency with Adobe Sign, Microsoft Office Suite, and document management systems (e.g., Box).
  • Ability to work non-traditional hours, including evenings and weekends, in alignment with WWE's event schedule.
  • Willingness to travel to live events on an as-needed basis.

Preferred
  • Experience in sports, entertainment, or a regulated industry involving government licensing or compliance.
  • Familiarity with state athletic commission requirements or similar regulatory frameworks.
  • Experience with AP/financial processing systems such as OnBase.Notary certification or experience with legal document execution.
