Ottawa University (established in 1865), one of the oldest private liberal arts universities in the United States, is a multi-campus system serving approximately 4000 students through its campuses in Kansas (Ottawa, Kansas- Residential Campus and Overland Park, Kansas- Adult Programs); Arizona (Surprise Residential Campus and OUAZ Adult Programs); Wisconsin (Brookfield Adult Programs); and our OU ONLINE PROGRAM based out of Overland Park, Kansas.

JOB SUMMARY
Responsible for academic data maintenance, within the University academic records system, associated with the degree completion process. This responsibility includes responsibility for the lifecycle of academic records, for all students in all programs, including new student transcription of transfer credits through to the issuance of the diploma. Must apply University policies/procedures (transfer credits, course completion, academic honors, probation and dismissal, and degree requirements) as a part of this responsibility. Position is responsible and makes independent judgement regarding the application of degree credit. This analytical role is significant to the department and University as a whole.
ESSENTIAL FUNCTIONS OF THE JOB (provide list of items which are essential to effective outcomes in this role):
  • Assures a thorough understanding of compliance requirements as well as University academic credit/record requirements and independently applies this knowledge in awarding credits to each student's academic transcript.
  • Configures curriculum/program requirements into the University enterprise software system assuring accuracy, detail and required timelines.
  • Coordinates with stakeholders related procedural matters regarding the day-to-day operations of degree audit encoding and monitor resources to guarantee on-time delivery.
  • Provides prompt, reliable, and friendly service and information to students and advisors related to applying for graduation, the evaluation and certification process, and best practices of using the degree audit system.
  • Evaluates degree audits and other student records and communicates accurate information about a student's status related to degree attainment, including the evaluation of progress towards degree completion, academic honors, probation and dismissal, and the certification of degrees earned, and the distribution of diplomas.
  • Maintains procedures for departmental operations that will assure an efficient and courteous service to students and a general direction for processes and systems at the campus.
  • Conducts transcript evaluation, records documentation and archiving, graduation auditing, submission of conferral lists, and academic web auditing.
  • Works in cooperation with the student service center, as well as academic departments, assuring that all departments work effectively as a team to best service student needs.
  • Provides functional support and troubleshooting via email, phone, and in person inquiries from Registrar's Office staff and campus partners
  • Assists Registrar with training the campus community on using products including updating and distributing training materials, as needed. Participate in meetings to ensure communication about changes in university academic policies
  • Other duties as assigned
