Job description

Administrative Assistant / Office Manager

Livewire Electrical Contractors

We are looking for a reliable, organized, and motivated Administrative Assistant / Office Manager to manage and oversee the day-to-day operations of our back office.

This person will play an important role in keeping the company organized, coordinating between customers and field employees, managing paperwork and scheduling, and making sure important tasks and follow-ups are completed.

Responsibilities

  • Answer and manage incoming phone calls, emails, and customer inquiries
  • Schedule service calls, estimates, inspections, and appointments
  • Coordinate daily scheduling with electricians and field employees
  • Communicate with customers regarding scheduling, project updates, and outstanding items
  • Prepare and send estimates, proposals, invoices, and other documents
  • Follow up on open estimates, unpaid invoices, deposits, and outstanding balances
  • Maintain organized customer, project, employee, and vendor records
  • Track permits, inspections, utility paperwork, and project documentation
  • Communicate with townships, inspectors, utilities, vendors, and suppliers as needed
  • Order materials and office supplies
  • Organize receipts, bills, purchase orders, and accounting paperwork
  • Assist with employee paperwork, time sheets, and payroll organization
  • Maintain company calendars, reminders, deadlines, and follow-ups
  • Help coordinate projects from initial customer contact through completion
  • Keep management informed of outstanding issues requiring attention
  • Maintain and improve office procedures and organizational systems
  • Handle confidential company and customer information professionally
  • Assist ownership with administrative and operational tasks as needed
