Compensation

$45,000–$60,000 annually, based on experience

The Opportunity

Helion is seeking a detail-oriented Payroll & Onboarding Specialist to own the day-to-day execution of weekly employee and contractor payroll, onboarding, worker starts and finishes, compliance administration, and workforce reporting.

This is a hands-on role for someone who enjoys accurate, deadline-driven work and can comfortably move between payroll processing, contractor support, workforce systems, and urgent staffing needs.

The position is primarily remote, but candidates will need to be within 30 minutes of the Tampa area to participate in occasional in-person meetings, training, or team activities.

What You'll Do

  • Process weekly multistate payroll for internal employees and contractors.
  • Collect and validate timecards, investigate missing or unapproved hours, and resolve payroll exceptions.
  • Maintain new hires, terminations, rate changes, deductions, direct deposits, garnishments, commissions, bonuses, and payroll corrections.
  • Reconcile payroll hours against timekeeping and billing records and prepare the final payroll package for approval.
  • Manage same-day worker starts, finishes, and assignment changes across Salesforce, iSolved, and internal trackers.
  • Coordinate onboarding paperwork, I-9 and E-Verify requirements, drug screens, background checks, and required training.
  • Monitor upcoming starts and proactively escalate missing documentation or at-risk start dates.
  • Process weekly finishes, system terminations, separation letters, and related reporting.
  • Administer routine employee and contractor benefit enrollments and updates.
  • Complete employment verifications, unemployment responses, support orders, new-hire reporting, and other compliance items.
  • Produce weekly starts, finishes, payroll, time, and workforce reports.
  • Maintain accurate, audit-ready employee and contractor records.
  • Document payroll, onboarding, and offboarding procedures and serve as dependable payroll backup.

What We're Looking For

  • Bachelor’s degree required; relevant internships, coursework, or up to two years of experience in payroll, workforce operations, staffing, human resources, or a related area is helpful.
  • Interest in learning end-to-end business processes, including payroll, onboarding, employee support, and workforce operations.
  • Strong attention to detail and ability to meet deadlines in a fast-paced environment.
  • Willingness to learn processes involving timecards, payroll corrections, garnishments, I-9s, background checks, and drug testing.
  • Comfortable learning systems such as iSolved, Salesforce, and other payroll or workforce-management platforms.
  • Eager to support both employees and contractors while building strong operational and problem-solving skills.
  • Motivated to grow with a company that values continuous learning, professional development, and process improvement.
