Physical Security Project Coordinator

Location: Remote (but must be local to Houston)

Work Arrangement: Remote with approximately 5% in-person participation for occasional coordination meetings, vendor interactions, team-building activities, and video-enabled collaboration.

Position Overview

We are seeking a Physical Security Project Coordinator to provide operational and administrative support for enterprise physical security initiatives. This role will coordinate project activities, maintain documentation, support security system installations and enhancements, and serve as a key liaison between Physical Security, Facilities, IT teams, vendors, and business stakeholders.

This position is ideal for a detail-oriented professional with project coordination experience and exposure to physical security technologies, access control systems, video management platforms, and technical documentation. The successful candidate will play a critical role in ensuring projects remain organized, compliant, and aligned across multiple teams.


Key Responsibilities

Project Coordination

  • Coordinate physical security projects including system upgrades, facility development initiatives, new installations, and system expansions.
  • Manage project schedules, action logs, project documentation, and repository maintenance.
  • Track project risks, issues, dependencies, milestones, and deliverables.
  • Facilitate project meetings, document meeting minutes, and track follow-up actions.

Stakeholder Communication & Coordination

  • Serve as a liaison between Physical Security, Facilities, IT, vendors, and internal stakeholders.
  • Translate security requirements into actionable project tasks.
  • Support cross-functional alignment during planning, deployment, and implementation phases.
  • Draft professional communications and project updates.
  • Represent the department professionally during occasional onsite engagements.

System Documentation & Support

  • Maintain documentation associated with physical security platforms, including:

  • Coordinate vendor schedules and installation activities.
  • Support remote testing and commissioning efforts.
  • Review site photos, diagrams, and deployment documentation.
  • Assist with issue tracking and resolution during implementation activities.

Compliance & Quality Assurance

  • Support adherence to security standards, configuration baselines, and retention policies.
  • Ensure documentation accuracy and consistency across projects.
  • Assist with quality assurance reviews for system changes and installations.

Required Qualifications

Project Coordination Experience

  • 2–4+ years of experience in project coordination, project support, project administration, or program coordination roles.
  • Experience managing schedules, documentation repositories, action trackers, and stakeholder communications.
  • Strong organizational and multitasking abilities.
