Our client, a top personal care manufacturing company is looking for a Business Coordinator in NYC! The successful candidate will have experience working in administrative role in personal care and beauty industry, managing vendor payments, POs and auditing invoices.
Role overview:
- Contract Role: Approx. 6 months
- Pay: $32.97/hr on W2
Responsibilities:
- Coordinates all shipments from China by tracking status, confirming delivery dates, rerouting goods, obtaining Proof of Delivery (POD) documents, and reporting weekly to the Marketing team.
- Maintains a comprehensive status report for all team projects, including active Purchase Orders (PO) and delivery timelines.
- Issues POs while ensuring full compliance with auditing standards, including verifying quotes, approvals, and Cost Benefit Reports (CBR).
- Resolves receiving discrepancies by collaborating with suppliers and logistics providers, approving expedited services when necessary, and verifying that PIM documentation is complete.
- Manages vendor payments by confirming non-stock POs, auditing invoices for accuracy, and resolving blocked or parked invoices between receiving and finance departments.
- Tracks and reports quarterly and annual expenditures while managing the procurement of recurring accessories and assisting in the sourcing of new promotional items.
Required Qualifications:
- Experience working in administrative role in personal care and beauty industry.
- Experience managing vendor payments, POs and auditing invoices.
