Position Overview The Administrative Specialist will provide advanced administrative support to staff members within the Division of Student Affairs. Individual will perform a varied and often complex range of administrative duties requiring knowledge of office routine and an understanding of University policies, procedures, and programs; be proactive in identifying, following-through, and resolving various issues; run queries, produce reports, and research and manipulate data for analysis by others; coordinate all aspects of event planning for activities within the Division; provide direction and support to student workers within the Division; process financial paperwork (e.g. purchase orders, check requests, billing; petty cash); monitor and document budget activity; and monitor levels of and purchase supplies. Required Knowledge, Skills and Experience
  • High School diploma or equivalent required with a minimum of 4 years of professional work experience as well as computer proficiency with an emphasis on Microsoft Office Suite, Google products and data management.
  • Individual must possess excellent typing, data entry, recordkeeping, and organization skills along with a working knowledge of standard office equipment.
  • Skill set must include the ability to: take initiative, exercise good judgment and handle confidential information.
  • Communicate effectively with excellent public relations and interpersonal skills.
  • Work effectively with administrators, faculty and students.
  • Be personable and compassionate to the needs of students and their parents.
  • Quickly assess the needs and requirements of students; perform under pressure and handle difficult situations calmly.
  • Problem-solve and operate independently.
  • Prioritize and organize own work schedule, multi-task, and meet established deadlines.
  • Delegate work responsibly to others, monitor the work of others, and provide ongoing guidance and leadership to others.
  • Satisfactory background and/or DMV checks required.
Preferred Knowledge, Skills and Experience
  • Associate's degree or equivalent.
  • Advanced proficiency with Microsoft Office Suite, Google products and data management.
  • Knowledge of Banner and Cognos.
  • Experience learning new software applications.
