Hope Church is seeking a highly organized and proactive Executive Assistant to support our pastoral team. This role is vital in helping our pastors lead effectively by managing schedules, coordinating communication, and executing key projects and events.
The ideal candidate is detail-oriented, relational, and thrives in a fast-paced, ministry-focused environment. This person will anticipate needs, handle responsibilities with excellence, and reflect the heart and values of Hope Church in every interaction.
Key Responsibilities
Administrative Support
  • Manage pastors' calendars, appointments, and scheduling
  • Coordinate meetings, including logistics and communication
  • Assist with email communication, follow-up, and correspondence
  • Maintain accurate records and systems (Google Calendar, Planning Center, documents)
  • Provide administrative support for meetings and church leadership functions

Project & Event Coordination
  • Support planning and execution of church events, gatherings, and initiatives
  • Coordinate details for guest speakers (travel, lodging, meals, materials)
  • Assist with retreats, staff events, and ministry gatherings
  • Help manage timelines, communication, and event logistics

Team & Ministry Support
  • Provide administrative support to multiple pastors and ministry areas
  • Assist with maintaining ministry systems (Planning Center, calendars, groups)
  • Participate in Administrative Team collaboration and meetings
  • Help coordinate team meetings, agendas, and communication

Communication & Organization
  • Serve as a key point of coordination between pastors, staff, and church members
  • Ensure pastors are informed of important needs and upcoming priorities
  • Maintain a high level of professionalism, discretion, and confidentiality

Additional Responsibilities
  • Support church wide events and special projects as needed
  • Provide flexible assistance across ministries as opportunities arise

Requirements
Qualifications
  • 18 years or older
  • Minimum 2 years of experience in an administrative or executive assistant role (church or nonprofit preferred)
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Self-starter with strong problem-solving skills
  • High level of professionalism and confidentiality
  • Proficient in Mac, Microsoft Office, and Google Workspace
