Job description

Position Overview
The Executive Assistant & Client Relations Coordinator plays a key role in delivering a high-touch, client-centered experience aligned with our clients' commitment to transparency, trust, and proactive financial planning. The Executive Assistant & Client Relations Coordinator serves as a primary point of contact for clients, ensuring seamless communication, exceptional service, and strong relationship management throughout the client journey.

Key Responsibilities
  • Serve as the first point of contact for client inquiries via phone, email, and in-person interactions
  • Build and maintain strong, long-term client relationships through consistent communication and follow-up
  • Coordinate and schedule client meetings, reviews, and check-ins
  • Assist advisors with client onboarding, including data collection and account setup
  • Maintain accurate and up-to-date client records within CRM systems
  • Prepare client meeting materials, reports, and documentation
  • Ensure timely follow-through on client requests and service needs
  • Support the implementation and ongoing servicing of financial plans
  • Collaborate with internal team members and external partners (e.g., CPAs, attorneys) as needed
  • Uphold confidentiality and professionalism in handling sensitive financial information

Requirements
  • 2+ years of experience in client service, customer relations, or administrative support
  • Proficiency in Microsoft Office, including Outlook and Excel, and experience using CRM systems
  • Experience communicating directly with clients
  • Eligible to work in the United States

Preferred Qualifications
  • Financial education or industry experience
  • Experience in financial planning, wealth management, or the insurance industry
  • Familiarity with financial terminology and processes
  • Bachelor's degree in business, finance, or a related field
