The Outreach Coordinator is responsible for supporting the growth and expansion of programs by identifying and engaging prospective eligible groups. This role focuses on executing outreach strategies, managing lead pipelines, and coordinating promotional activities to generate new client interest and support program enrollment. Working closely with Business Development and the Program Manager, the Outreach Coordinator ensures a consistent and professional outreach approach across all channels, including email, phone, events, and informational sessions.
This role plays a key part in building awareness of the program, developing outreach materials, tracking engagement metrics, and maintaining accurate CRM records to support effective pipeline management and conversion efforts.

JOB RESPONSIBILITIES:

  • Research and identify prospective eligible programs/groups.
  • Build and execute multi-touch outreach campaigns across email, phone, events, landing pages, social media, and outbound sequences (using CRM/marketing platforms such as HubSpot or Airtables to generate and qualify new client leads.
  • Coordinate conference presence, webinars, and informational sessions to promote the program.
  • Manage the prospect pipeline and CRM records - including lead scoring, enrichment, contact database maintenance, workflow triggers, and CRM syncs - to ensure accurate lead flow and attribution.
  • Develop outreach collateral and campaign assets - email templates, landing pages, talking points, and program summaries - tailored to specific segments, industries, or buyer personas, partnering with Content, Creative, and Digital Marketing teams as needed.
  • Track and report on outreach and campaign performance metrics (contacts made, open/click-through rates, conversion rates, cost per lead, pipeline volume) and recommend adjustments based on performance trends.
  • Conduct A/B and multivariate testing (subject lines, copy, CTAs, send times, segmentation) to optimize campaign performance.
  • Coordinate with Sales, Product Marketing, Content, and Revenue Operations teams to align messaging, timing, campaign goals, and ensure consistent systems integration and reporting.
  • Collaborate with Account Managers to ensure warm handoffs for newly converted clients.

EDUCATION:

Bachelor's degree in Marketing, Business, Communications, or a related field.

EXPERIENCE:

  • 2-5+ years of experience in digital marketing, demand generation, or marketing operations-preferably in a SaaS or EdTech environment.
  • Experience using marketing automation platforms such as HubSpot, Marketo, Pardot, or similar.
  • Experience with PLG funnels, lead scoring models, and buyer journey alignment preferred.

COMPETENCIES - SKILLS/KNOWLEDGE/ABILITIES:

  • Strong communication and interpersonal skills - able to engage a wide range of stakeholders professionally and persuasively, and collaborate effectively across distributed teams.
  • Highly organized with strong time-management skills - able to manage multiple outreach campaigns or projects simultaneously with attention to detail.
  • Proficiency managing outreach pipelines and CRM records (e.g., HubSpot, Creatio, or equivalent), with working familiarity with Microsoft Office Suite and marketing/outreach tools such as Apollo.io, Canva, and Google Analytics.
  • Proficiency in campaign-building workflows and audience segmentation.
  • Ability to analyze outreach and marketing metrics/funnel KPIs, and adjust strategies to improve engagement and conversion rates.
  • Basic knowledge of HTML/CSS for email and landing page formatting.
  • Comfort coordinating events such as webinars, conferences, and informational sessions, including logistics and follow-up activities.
  • Ability to work collaboratively with Account Managers and Program leadership to ensure smooth client transitions and alignment on messaging.
  • Enthusiasm for education, technology, and using data to solve problems.

Compensation range for this role is $47,000 to $50,000 annually, depending on experience.
