Job description

The Account Coordinator I provides administrative and entry-level accounting support for assigned clients. This role focuses primarily on administrative coordination and transactional support while learning core bookkeeping processes. The Account Coordinator I works under close supervision and follows established SOPs to ensure accuracy, organization, and timely execution. Must be able to work 9am - 5:30pm PST.

Administrative & Client Support (Primary Focus)

  • Assist with email management and routine client correspondence.

  • Handle phone calls, information requests, and basic client follow-ups as directed.

  • Maintain organized electronic client files and documentation.

  • Track and maintain W-9s and other vendor compliance documents.

  • Assist with research projects, client requests, and miscellaneous administrative tasks.

  • Update internal reports such as bank balance summaries and cash tracking documents as instructed.

Accounting & Bookkeeping Support

  • Enter Accounts Payable transactions into accounting software according to SOPs.

  • Assist with processing vendor invoices and matching deposits to invoices.

  • Enter and process client credit card statements.

  • Post transactions in QuickBooks Online and Desktop under supervision.

  • Assist with bank and credit card reconciliations.

  • Assist with payroll: time sheet input, tracking PTO and Sick Time, following up on time sheets.

  • Support month-end close tasks as assigned.

Professional Standards

  • Maintain confidentiality and professionalism with all client information.

  • Follow established procedures and escalate questions or discrepancies promptly.

  • Demonstrate attention to detail and willingness to learn accounting processes.

Experience & Qualifications

  • Approximately 2 years of administrative, bookkeeping, or accounting support experience

  • Exposure to QuickBooks Online and Desktop

  • Strong organizational and communication skills

  • Interest in building a long-term career in accounting or bookkeeping

  • Comfortable working in a support role with ongoing review

This pay range is intended to cover roles based across the United States. An individual's base pay depends on various factors including geographical location and review of experience, knowledge, skills, abilities of the applicant.
