Marketing and Communications Assistant

POSITION OVERVIEW:

We are seeking a creative and detail-oriented Marketing Assistant to provide essential support to our dynamic marketing team under the direction of the Marketing Manager. This is an excellent entry-level position for an enthusiastic individual looking to gain hands-on experience across various marketing functions and contribute to the success of our campaigns with the opportunity to grow. The ideal candidate will be organized, possess strong communication skills, and be eager to learn within a fast-paced environment.

WHAT YOU'LL DO:

  • Administrative & Organizational Support:
    • Provide general administrative support to the marketing manager including organizing marketing materials.
    • Maintain organized digital and physical files of marketing assets and databases.
    • Coordinate the ordering and inventory of marketing supplies and promotional items.
    • Maintain tradeshow booth materials, storage room, and coordinate their shipment.
    • Update company SharePoint homepage with internal email announcements.
    • Monitor and run reports as needed in Salesforce CRM and other customer or internal databases (training provided).
    • Compile and maintain industry association membership database, tradeshow and events tracking, email campaign reports.


  • Content & Digital Support:
    • Create graphics for social media posts, brochures, and email announcements as required.
    • Assist with the creation of social media content.
    • Support the creation and distribution of marketing campaigns to accurately reflect the Valtir brand (training provided).
    • Help with coordination of basic updates to the company website, as well as the gathering and distribution of relevant documents (training provided).


  • Campaign & Project Assistance:
    • Support the execution of marketing campaigns across various channels (e.g., social media, email, website, etc.) by providing assistance as needed.
    • Assist with the coordination of marketing events, webinars, and trade shows, including logistical support.
    • Help track project timelines and ensure tasks are completed efficiently.
    • Liaise with internal teams as needed.
    • Assist in collecting and organizing market research information.
    • Assist with the preparation of marketing presentations, territory maps, marketing reports, and data gathering.
  • Customer & Partner Support:
    • Fulfill customer and distributor requests for Valtir images and access to marketing materials.
    • Provide access to online training platforms and support as needed.
    • Create and distribute training certificates to attendees.
    • Assist in the creation and development of online training courses.
    • Organize and maintain image library on our Kiteworks file sharing site, and our customer email contact database.
    • Assist in the creation and development of customer email newsletters.


  • Other Tasks:
    • Perform other marketing-related duties and projects as assigned to support team goals.

WHAT YOU'LL NEED:

  • Associate's or Bachelor's degree in Marketing, Communications, Graphics Design, Business, or a related field preferred (recent graduates encouraged to apply).
  • 1-2 years of experience in marketing, social media, or related roles (internships included or previous experience in a marketing administrative or freelance role).
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong IT, computer skills, and creative software knowledge to design visual content in Adobe Creative Suite (Illustrator, InDesign, Photoshop, PDF).
  • Basic understanding of social media platforms and digital marketing concepts.
  • Ability to manage multiple tasks and prioritize effectively.
  • Able to adapt to shift in task priorities, work well under tight deadlines, and follow directions.
  • Eager to learn and grow in a busy and exciting work environment.
  • Passion for technology and corporate graphics design.
  • Ability to work both independently and collaboratively within a team.
  • A positive attitude and strong work ethic.
  • Experience in graphic design, video, and photo editing software.
  • Ability to occasionally work late, or attend industry events on weekends or outside of working hours.
  • Ability to lift/transport tradeshow booths that way 50+ lbs.
