The Opportunity
We are seeking a highly organized and detail-oriented entry-level Marketing Coordinator to manage our firm's outdoor advertising initiatives. This role ensures our outdoor advertisements are accurate, on brand, strategically placed and launched on schedule. Success in this position requires exceptional organizational skills, meticulous attention to detail and the ability to manage multiple projects and deadlines in a fast-paced environment. As part of our Marketing Team, you will support our firm-wide success by increasing case acquisition and driving ROI through marketing efforts. This is an ideal opportunity for a proactive, self-motivated professional who is eager to grow in a hands-on role and dedicated to providing flawless execution of our marketing vision and strategies.
Objective
Serve as the primary coordinator for the firm's outdoor advertising program by managing billboard operations from concept through installation. This role is responsible for coordinating vendors, maintaining billboard inventory and mapping, facilitating creative development and approvals, tracking campaigns, and ensuring advertising is executed accurately and on schedule. Secondary responsibilities include supporting marketing operations, events, and special projects.
Desired Outcomes
  1. Accountable for Billboard and Outdoor Advertising Management (Primary Responsibility).
    • Serve as the day-to-day coordinator for the firm's billboard advertising program across all markets.
    • Maintain a comprehensive inventory of all billboard locations, contracts, artwork, flight dates, and installation schedules.
    • Develop and maintain detailed internal billboard maps and tracking spreadsheets to ensure accurate placement and visibility of all advertising assets.
    • Coordinate with billboard vendors to schedule creative rotations, new installations, removals, and maintenance.
    • Manage project timelines to ensure artwork is delivered, installed, and replaced according to schedule.
    • Coordinate creative requests with internal marketing team members and outside designers.
    • Prepare artwork packages and distribute final creative files to vendors.
    • Coordinate internal stakeholder reviews and revisions.
    • Manage the Louisiana State Bar advertising approval process by preparing, submitting, tracking, and documenting required filings.
    • Conduct routine quality control by verifying billboard installations, reviewing proof photos, and ensuring campaigns are executed correctly.
    • Research new billboard opportunities and provide strategic placement recommendations based on market growth, traffic patterns, competitive activity, and marketing priorities.
    • Build and maintain strong working relationships with outdoor advertising vendors
  2. Accountable for Marketing Operations and Department Support.
    • Support the execution of marketing initiatives, events, sponsorships, and special projects.
    • Coordinate with vendors, designers, and internal stakeholders to keep projects on schedule.
    • Maintain organized marketing documentation, project trackers, asset libraries, and reporting.
    • Assist with the production of marketing materials and coordinate creative requests as needed.
    • Create and maintain detailed spreadsheets and reports to support marketing initiatives and department operations.
    • Ensure marketing assets, collateral, and promotional materials are organized, current, and readily available.
    • Identify opportunities to improve organization, efficiency, and marketing processes across the department.
    • Perform additional marketing and administrative support duties as assigned.

Preferred Skills/Abilities:
  • Exceptional attention to detail with the ability to manage numerous projects simultaneously.
  • Advanced proficiency in Microsoft Excel and Google Sheets.

  • Willingness to learn and continuously improve marketing operations and processes.
  • Willingness to perform any/all tasks as assigned by Marketing Director, Events Coordinator, Marketing Operations Manager and/or Firm Leadership in support of the firm's growth and success.

Preferred Education and Experience:
  • Bachelor's degree in Marketing, Communications, Business, Advertising, or a related field preferred (or equivalent experience).
  • Experience coordinating advertising campaigns, print production, project management, or vendor management preferred.
  • Strong spreadsheet and reporting experience required.
  • Experience working with outdoor advertising, signage, media buying, print vendors, or marketing operations is highly preferred.
  • Experience with Adobe Illustrator, Canva, or similar creative software.
  • Experience coordinating multiple projects with competing deadlines.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Occasional travel to inspect billboard locations or attend vendor meetings and events.
  • Must be able to lift up to 15 pounds at times
