Job description

The Recruitment Assistant plays a key part in delivering a seamless new hire experience, guiding candidates from offer through onboarding and ensuring they’re fully ready to start. As the bridge between candidates, managers, and the recruiting team, the Recruitment Assistant keeps everything organized, on track, and professional. They also support hiring efforts by screening applicants, coordinating interviews, and helping fill production roles to keep the business moving.

Monday - Friday 8AM to 5PM

Key Responsibilities:

  • Manage the post-offer onboarding process for new hires, ensuring all pre-employment requirements are completed accurately and on time
  • Coordinate and track background checks, drug screens, and pre-employment physicals, including follow-up on outstanding items
  • Collect, review, and maintain all required new hire documentation to ensure compliance with company policies and regulatory requirements
  • Serve as the primary point of contact for candidates from offer acceptance through start date, providing clear communication and guidance throughout the onboarding process
  • Partner with hiring managers to confirm start dates, onboarding readiness, and new hire setup requirements
  • Coordinate with internal departments to ensure workstations, system access, equipment, and other onboarding needs are prepared prior to the employee’s first day
  • Assist in planning, organizing, and facilitating new employee orientation sessions
  • Support recruiters by screening applicants for entry-level and production roles based on established criteria
  • Schedule interviews and coordinate logistics between candidates and hiring teams
  • Administer and track candidate assessments and ensure timely follow-up with applicants
  • Maintain accurate records and tracking within the applicant tracking system (ATS) and onboarding platforms
  • Gradually assume responsibility for recruiting lower-volume or entry-level production roles to support team capacity and allow recruiters to focus on critical or hard-to-fill positions
  • Provide general administrative support to the recruiting team, including reporting, data entry, and process documentation
  • Ensure a positive and professional candidate experience throughout all stages of the hiring and onboarding process
  • Maintain a clean and safe work environment at all times.
  • Continually look for ways to improve job efficiency and performance.
  • Perform all reasonably related duties as assigned.

Qualifications:

  • At least one year of progressively more responsible experience
  • General Educational Development: Extensive technical or specialized knowledge equivalent to that ordinarily acquired in the first two years of college.
  • Strong attention to detail 

Additional Requirements:

  • Must be eligible to work on programs subject to ITAR (International Traffic in Arms Regulations).
