Summary:
 

The Project Coordinator/Administrator is responsible for providing administrative and project coordination support to the St. Clair Wastewater Treatment Plant Expansion Project. This role performs a wide range of duties, including preparing meeting minutes, processing purchase orders, coordinating project documentation, assisting with timesheets, and supporting the day-to-day administrative needs of the project team.

This is an excellent opportunity for individuals looking to gain experience in the construction industry, and co-op students are encouraged to apply.

This is a 6-month contract position with the potential for long-term employment on future NAC projects throughout Ontario, based on performance and business needs.

Position Responsibilities:
  • Complete administrative tasks (i.e. timesheets, expenses, site PO processing) and forward the paperwork to respective departments to ensure deadlines are met, and the administration of the project runs smoothly
  • Create and maintain an effective central file system (including contracts, drawings POs, correspondence etc.) for the site to ensure documents can be easily retrieved
  • Act as a point of contact for the site, obtain and share information with necessary parties and individuals, communicate promptly with vendors and accounting to resolve payable-related issues
  • Review documents, reports, and correspondence prepared for signature and following signature and forwarding to respective departments
  • Receive and screen all inbound telephone calls, e-mails, and visitors to the site; refer and/or redirect calls, e-mails, or visitors as applicable
  • Receive incoming mail; review, evaluate, and distribute correspondence requiring priority attention
  • Complete expense reports, pay invoices, and other monetary duties
  • Present a positive and professional image of the Company to all visitors, suppliers, inquiries, and other interactions
  • Assist with any planning or implementation documentation and organization
  • Other Duties as required
Qualifications:
  • Strong knowledge of general office procedures
  • Experience with computer programs such as MS Word, Excel and Outlook
  • Excellent written and verbal communication skills
  • Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
  • High level of sound and independent judgment, reasoning, and discretion
  • Ability to interpret and implement company policies and procedures
  • Professional, responsive, and positive work attitude is essential
