Job description

MAJOR DUTIES AND RESPONSIBILITIES Incumbent will be responsible for the following duties: Administrative Assistant (35%) * Incumbent receives day-to-day direction from the DOS S/FM and D/FM. Assists with providing a full range of general support services including CAA and unclassified procurement operations, payroll administration, financial activities, maintaining related files and records, scheduling meetings and other general administrative and clerical duties. * Assists with payroll utilizing the DOS WinT&A payroll software system for both DOS Direct Hire and LES employees.

Includes verifying time and attendance before submittal to FSC. Assists with consolidating bi-weekly payroll and submitting it to FSC. Maintain a "sensitive" spreadsheet-detailing payroll and allowance information.

* Meet with all new and departing employees and obtain necessary payroll and allowance information and forward the data to FSC Charleston. * Performs general office administrative duties such as preparing reports, tables, summaries, and other documents using standard office software. Controlled Access Areas (CAA) Work Order Coordinator (30%) * Managing and operating work orders in the classified preventive maintenance computer system for the CAA of the Chancery building.

* Receives, processes, schedules, and monitors work orders for the CAA of the Chancery building. * Stores, maintains, and saves all records, drawings, technical manuals, and building notices needed for the safety and maintenance of the CAA of the Chancery. * For all requirements for securely procured equipment and repair parts to support building systems in CAA: * Drafts or checks Requests for Procurement and submits them to GSO Procurement * Maintaining records of all RFPs submitted and obtaining order status updates coordinates with Secure Warehouse staff to ensure adequate stock of securely procured expendable maintenance supplies * Arranges pick-up of necessary items from secure receiving area or warehouse and delivery to worksite by cleared Americans.

Unclassified Work Order Coordinator (30%) * Managing and operating work orders in the un-classified preventive maintenance computer system for the non-CAA portions of the Embassy compound. * Receives, processes, schedules, and monitors work orders for the non-CAA portions of the Embassy compound. * Stores, maintains, and saves all records, drawings, technical manuals, and building notices needed for the safety and maintenance of the non-CAA portions of the Embassy compound.

Other (5%) * Performs general office administrative duties such as administrating meetings, preparing reports, tables, summaries, and other documents using standard office software. * Acts as backup for LES Work Order Clerk as needed. * Assists the S/FM & D/FM in other areas as required.

Required Qualifications * Knowledge of computer programs; must be able to produce letters, reports, and presentations. * Must be 21 years of age or older, have completed secondary school. * A Top-Secret clearance and a 3/3 level in Russian are required.

* Must be a U.S. Citizen. Preferred Qualifications * Knowledge of Facilities Management.

* Associate degree or completion of a trades or technical school.
