Front Desk Assistant

Zanes Law, a dynamic law firm, is seeking a Front Desk Assistant to join our amazing team. We are looking for an individual with a passion for delivering exceptional customer service and a commitment to excellence. The successful candidate will be organized, detail-oriented, self-motivated, and possess effective communication skills.

This is a full-time on-site position, Monday through Friday, from 8:00 am to 5:00 pm located at 4580 E Grant Rd, Tucson, AZ.

Responsibilities:
  • Greet and welcome clients, employees, and visitors to the office, creating a professional and friendly atmosphere
  • Oversee inventory of office supplies and restock items as needed
  • Maintain office clean and tidy: lobby, conference rooms, kitchen, copy room, etc.
  • Monitor and process incoming/outgoing mail, including printing and mailing legal documents
  • Assist staff in preparing conference rooms for meetings and interviews
  • Answer questions from clients and visitors to ensure they receive the help they need
  • Monitor and process faxes and other correspondence between offices
  • Assist with occasional duties outside of the office, such as going to the post office, courthouse, or any other necessary office errands
  • Verify case file billings and assist clients with filling out paperwork and scanning documents
  • Closing of client files via our case management software, Filevine
  • Perform other duties as assigned by management
Requirements:
  • 1 year of professional office experience
  • High school diploma or GED required; college degree or enrollment in a current program preferred
  • Know computer software including Office 365
  • Excellent oral communication skills and an outgoing personality
  • Ability to adapt in a fast-paced environment and handle multiple priorities
  • Elevated level of quality and accuracy with obtaining and documenting information
  • Able to multitask and learn quickly
  • Must thrive in a team environment
  • Reliable and dependable with work schedule
  • Driver's License and continuous clean driving record, you will be driving our company vehicle
  • Excellent comprehension and critical thinking skills
  • Ability to type at least 35 WPM and navigate multiple software applications
