Job description

The Guest Services Specialist serves as the first point of contact for visitors and callers. The will provide general office support with a variety of clerical activities and receptionist-related tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Answers telephones and directs the caller to the appropriate associate.
  • Greets and directs visitors to the company.
  • Takes and retrieves messages for various personnel.
  • Receives, sorts and distributes incoming mail.
  • Coordinates the pickup and delivery of express mail services (Fed Ex, UPS etc)Opens builder contracts in real estate closing software.
  • Monitors general office e-mail and forwards email to appropriate individual.
  • Assists with other related clerical duties such as photocopying, scanning and filing.
  • Maintain closing calendar board and keep it updated.
  • Send title docs out to lender/realtors.
  • Log in key packages and distribute to appropriate files.
  • Greet all incoming guests and obtain driver' s license/passport copies.
  • Clean and maintain cleanliness of all conference rooms and office space.

EXPERIENCE, SKILLS, KNOWLEDGE:
  • High school diploma or equivalent
  • Excellent communication and interpersonal skills
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of Microsoft Office Suite
  • Bilingual candidate would be a plus.
  • Professional appearance and demeanor.
