Customer Operations Specialist

About the Role

Aalchem is seeking a highly detail-oriented and solutions-focused Customer Operations Specialist to join our team. This role goes well beyond traditional customer service. The right person will enjoy working through complex information, solving problems, coordinating across departments, and ensuring orders are processed accurately from start to finish.

This position is ideal for someone who is naturally curious, organized, and comfortable navigating situations that do not always have a clear or standard answer. You will work closely with customers, sales, purchasing, and warehouse/inventory teams to support order processing, inventory verification, shipment coordination, and customer communication.

What You’ll Do

In this role, you will be responsible for supporting customer orders and internal coordination with a focus on accuracy, follow-through, and strong communication. Key responsibilities include:

  • Processing customer orders accurately and efficiently.
  • Communicating with sales representatives and internal departments to ensure order details are complete and accurate.
  • Verifying inventory availability, sales pricing, and order details.
  • Working closely with purchasing, sales, warehouse, and inventory teams to coordinate customer needs.
  • Setting up shipments, including both LTL and FTL freight.
  • Corresponding with customers and responding to questions, requests, and order-related needs.
  • Identifying potential issues, asking thoughtful questions, and helping resolve problems before they become larger concerns.
  • Balancing customer satisfaction with operational requirements, timelines, and company processes.

Preferred qualifications include:

  • Approximately two years of related experience in order processing, administrative support, logistics, customer operations, account management, or a similar environment.
  • Experience using computers and order processing systems.
  • Familiarity with ERP systems; ChemPax experience is a plus but not required.
  • Strong Outlook skills and working knowledge of Excel.
  • Experience in distribution, inventory, logistics, or shipment coordination is helpful.
  • A self-motivated, inquisitive mindset with the ability to research, problem-solve, and work autonomously.
