Responsibilities
Administrative Assistant II | Job Code S22732 | Job Level S2 | Grade S14Requires moderate skill set and proficiency in discipline. Conducts work assignments of increasing complexity, under moderate supervision with some latitude for independent judgment. Requires at least 1 year of related work experience.
KEY RESPONSIBILITIES
  1. Provides administrative support to clinical faculty and department management by managing calendars, coordinating meetings and conferences, maintaining and ordering office supplies.
  2. Works harmoniously with technical laboratory personnel to support daily clinical operations.
  3. Schedules, plans and coordinates meeting and catering.
  4. Requests pathology slides for conferences.
  5. Assists with provider credentialing, manuscripts, and IRBs.
  6. Travel arrangements and reimbursements for faculty.
  7. Data entry of purchasing transactions and provide information of financial management reports.
  8. Collects, organizes and analyzes data for specialized reports.
  9. Assists with inventory and maintenance requests of lab equipment (microscopes and accessories).
  10. Website updates on profiles and curriculum vitae on University CV System.
  11. Purchasing and reallocation of funds to department accounts.
  12. Correspondence, assist with PowerPoint presentation preparation, and other projects necessary to support faculty and staff.
  13. Assists with onboarding/termination of faculty and GME Trainees.
  14. Other duties as assigned.

Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Administrative Assistants, II: Requires at least 1 year of related experience.
Preferences
Intermediate skills in Outlook, Excel and Word preferred. Experience with Cerner Millennium, Peoplesoft, University of Utah financial systems (Concur, Ushop, FMS), QGenda, Sharepoint, and MBM system helpful but not required.
