Job description

Position Summary

The Office Administrator provides daily administrative and clerical support to ensure efficient office operations. This position serves as a key point of contact for employees, vendors, customers, and visitors while assisting with office organization, document management, purchasing, and data entry functions.

Essential Duties and Responsibilities
  • Answer and direct incoming phone calls in a professional manner.
  • Greet and assist visitors entering the office.
  • Maintain office kitchen and breakroom cleanliness.
  • Manage office and breakroom inventory, including ordering and stocking necessary supplies, refreshments, and consumable materials.
  • Monitor and maintain inventory of office supplies and place orders through approved vendors, including Amazon.
  • Receive, document, and communicate incoming sales leads to the appropriate sales team members for followup.
  • Maintain lead records and ensure all sales inquiries are accurately assigned and communicated to the appropriate team members.
  • Receive, sort, and distribute incoming mail and prepare outgoing mail as needed.
  • File vendor invoices and supporting documentation.
  • Input invoices accurately into PaveDay.
  • Complete and distribute job cards to field personnel and supervisors.
  • Track and maintain apprenticeship hours and related records.
  • Maintain organizing filing systems for company records and documents.
  • Assist with data entry, recordkeeping, and administrative projects.
  • Provide administrative support to management and other departments as needed.
  • Maintain confidentiality of company and employee information.
  • Perform other duties as assigned to support office operations.
  • Qualifications
  • High school diploma or equivalent.
  • Previous office or administrative experience preferred.
  • Proficient with Microsoft Office programs, including Outlook, Word, and Excel.
  • Strong organizational, communication, and customer service skills.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Attention to detail and accuracy in data entry and recordkeeping.
  • Ability to learn and utilize company software systems.
