Position SummaryThe Office Administrator provides daily administrative and clerical support to ensure efficient office operations. This position serves as a key point of contact for employees, vendors, customers, and visitors while assisting with office organization, document management, purchasing, and data entry functions.
Essential Duties and Responsibilities- Answer and direct incoming phone calls in a professional manner.
- Greet and assist visitors entering the office.
- Maintain office kitchen and breakroom cleanliness.
- Manage office and breakroom inventory, including ordering and stocking necessary supplies, refreshments, and consumable materials.
- Monitor and maintain inventory of office supplies and place orders through approved vendors, including Amazon.
- Receive, document, and communicate incoming sales leads to the appropriate sales team members for followup.
- Maintain lead records and ensure all sales inquiries are accurately assigned and communicated to the appropriate team members.
- Receive, sort, and distribute incoming mail and prepare outgoing mail as needed.
- File vendor invoices and supporting documentation.
- Input invoices accurately into PaveDay.
- Complete and distribute job cards to field personnel and supervisors.
- Track and maintain apprenticeship hours and related records.
- Maintain organizing filing systems for company records and documents.
- Assist with data entry, recordkeeping, and administrative projects.
- Provide administrative support to management and other departments as needed.
- Maintain confidentiality of company and employee information.
- Perform other duties as assigned to support office operations.
Qualifications- High school diploma or equivalent.
- Previous office or administrative experience preferred.
- Proficient with Microsoft Office programs, including Outlook, Word, and Excel.
- Strong organizational, communication, and customer service skills.
- Ability to prioritize tasks and manage multiple responsibilities.
- Attention to detail and accuracy in data entry and recordkeeping.
- Ability to learn and utilize company software systems.

Physical Requirements- Ability to sit, stand, walk, and perform routine office activities throughout the workday.
- Ability to occasionally lift and carry office supplies and materials up to 25 pounds.
