    Job description

    Status: Part-Time, Non-Exempt, Hourly | Schedule: Monday - Friday 10:00 am - 2:00 pm

    Reports to:ย Data Entryย Supervisorย 

    Department:ย Emergency Shelterย 

    Region:ย Orange Countyย 

    Job Summary:ย The Data and Reservation Specialistย is the first point of contact for our referring Outreach partners and PD. This position willย be responsible forย coordinating homeless services enrollment and referrals for Mercy House programs, data collection and entry into the Homeless Management Information System (HMIS), creation of reports from the HMIS, client follow-up, and client file management. The Data and Reservation Specialistย assistsย Mercy House staff in recording services provided, clientsย serviced, and program outcomes.ย 

    Essential Duties andย Responsibilities:ย 

    Reservationsย 

    • Responsible for tracking and updating Bed Availability Rosterย ย ย 

    • Screen calls from referring Outreach partners,ย PDย and returning clientsย ย ย 

    • Ensure referrals have been vetted for felony warrant checks and sex offender statusย ย ย 

    • Make bed reservation for client arrivals; to include mode of transportation to shelterย 

    Program Data Entry and Reportingย 

    • Ensureย HMIS intake forms are completed by clients and data is entered into the HMISย ย ย 

    • Ensureย HMIS data quality managementย ย ย 

    • Responsible for entering all Bed Nights, Case Notes and Services into data baseย on a daily basisย ย ย 

    • Scan and file intake packets and other pertinent documents dailyย ย ย 

    • Follow up with staff as needed to ensure needed documents and updated forms are kept to the agency standardย ย ย 

    • Meet data entry deadlines in a challenging and constantly changing atmosphereย ย ย 

    • Light data reporting tasksย ย ย 

    Miscellaneousย 

    • Attend staff meetingsย ย ย 

    • Attend County CoC meetings as neededย ย ย 

    • Attend training workshops as neededย ย ย 

    • Perform ad hoc projects as appointed by Supervisorย ย ย 

    Education and Experienceย 

    • Strong computer, typing,ย and data processing skillsย 

    • Proficiencyย in Microsoft Word, Excel, Outlook, and Internet-based browsersย 

    • Possessย a high levelย of tolerance and understanding for individuals who are present for services with urgent multiple case management and health needsย 

    Generalย 

    • Ability to work effectively with a diverse population; plan, organize and prioritize duties; clearly communicate information and instructions verbally and in written form;ย maintainย a positive,ย professionalย and safe environment while on duty; andย establishย and maintain effective working relationships with othersย 

    • Strong verbal communication and interpersonal skillsย 

    • Ability to multi-task in a fast-paced environmentย

    • Fluency inย Spanish isย of significant valueย

    • Ability toย lift, bend, push, and pullย upย toย 25ย poundsย 

    • Prolonged periods sitting at a desk and working on a computerย 

    • Must have reliable transportation and be willing to rotate/cover at other Orange County Emergency Services shelters as neededย
