Join a thriving, well-established primary care practice where your leadership will directly shape patient experience, team culture, and operational excellence. We're looking for a dynamic, hands-on Office Manager who thrives in a fast-paced healthcare environment and is passionate about building high-performing teams while delivering exceptional patient care.

Why This Role Stands Out

This isn't just an administrative role—it's an opportunity to lead, influence, and grow within a respected practice. You'll work closely with leadership, guide a dedicated team, and play a key role in optimizing workflows, improving access to care, and fostering a positive, patient-centered environment.

What You'll Do

As Office Manager, you'll be at the center of daily operations, ensuring everything runs smoothly across locations:

  • Oversee and coordinate daily operations in partnership with the Practice Manager
  • Create and manage staff schedules to align with patient demand and optimize workflow
  • Monitor provider schedules to maximize access and support same-day appointments
  • Supervise front office staff and medical assistants, providing guidance and support
  • Step in as needed—this is a hands-on role with front desk responsibilities during peak times
  • Review and manage PTO requests in alignment with company policy
  • Support payroll preparation and administrative processes
  • Maintain inventory of clinical and office supplies
  • Lead staff engagement initiatives and help cultivate a professional, positive clinic culture
  • Assist with recruiting, hiring, onboarding, and performance management
  • Coordinate staff training, including compliance and emergency preparedness
  • Support marketing and growth initiatives within the community
  • Ensure compliance with regulatory standards, safety protocols, and internal policies
  • Help lead team meetings and contribute to continuous improvement efforts

What Success Looks Like

You're someone who brings calm, clarity, and solutions—even on the busiest days. You balance people leadership with operational efficiency and consistently:

  • Deliver on responsibilities with accuracy and timeliness
  • Foster a collaborative, respectful, and engaged team environment
  • Anticipate challenges and proactively implement solutions
  • Contribute to the growth and development of both staff and the practice

How You'll Be Measured

Your impact will be visible through:

  • Achievement of clearly defined goals and KPIs
  • Timely and thorough completion of responsibilities
  • Feedback from staff and leadership
  • Observable improvements in workflow, morale, and patient experience

What You Bring

Must-Haves:

  • Front desk experience in a medical setting (physician practice or urgent care preferred)
  • Proven supervisory or leadership experience
  • EMR experience (Athena a plus, but not required—we'll train the right person)
  • Bachelor's Degree, preferred

Core Skills & Strengths:

  • Strong problem-solving and conflict resolution abilities
  • Excellent communication and active listening skills
  • Highly organized with exceptional time management
  • Strategic thinker with a hands-on, team-first mindset
  • Professional, reliable, and able to maintain confidentiality
