On-call Concierge/ Front Desk

The Part-time Concierge/ Front Desk is responsible for providing excellent customer service to all veterinary, medical and general meeting and event clients. In this position, the Concierge is required to assist the client in set up and provide service at the registration desk for general client needs before, during and after the event. Keeping up the appearance of the lobby area and front desk is needed to represent a clean and welcoming facility. The Concierge must represent WVC and the Oquendo Center in a professional manner at all times when interacting with co-workers and clients. This position requires the ability to work a schedule in accordance with business needs. This is an on-call position.

Job Responsibilities

  • Assist client in set up of name badges.
  • Print and obtain signatures on facility/client waivers.
  • Assist client in making copies, general office duties.
  • Assist client in directing flow of lab and lecture.
  • Ensure adequate supplies of food and beverage; turning inventory for freshness; recording inventory levels.
  • Order supplies as needed and within budget.
  • Ensure coffee is made and fresh with supplies full and area is clean of debris.
  • Provide transportation service as needed; cabs, etc.
  • Perform light housekeeping duties; wiping down counters with sanitizer, etc.
  • Maintain catering calendar for all events.
  • Make sure caterers are constantly updated regarding meals and meal times.
  • Quality check each meal prior to meal times.
  • Follow up and ensure all meals are set on time.
  • Responsible for all digital signage/logos for each event; operational and visual and placement of.
  • Ability to manage and delegate effectively to promote a team oriented environment.
  • Professional and courteous demeanor is required when interacting with WVC staff and clients at all times.
  • Contact outside vendors as necessary to rent outside equipment if needed. Comply with proper approval procedures to utilize.
  • Work independently and organize and prioritize work; analyze and troubleshoot complex issues; develop, recommend, and implement solutions.
  • Research ways to streamline and implement techniques to help improve quality of services.
  • Work directly with others to assure their needs will be met for their event and any special needs are recognized ahead of time.
  • Monitor the event calendar carefully and often to plan out event needs in advance and make sure all staff is scheduled and equipment is in house and working.
  • Correspond by email and phone with the client if needed ensuring effective business relationships.
  • Ensure awareness and knowledge of standard operating procedures and safety policies.
  • General knowledge of policies and procedures of the Oquendo Center must be adhered to
  • Other duties as assigned.

Qualifications and Required Skills and Competencies

  • Experience working in a collaborative mode with a wide array of individuals.
  • Must be an effective communicator, write clearly, ability to read and interpret written information. Must have a strong work ethic; be on time; and greet participants with a smile
  • Knowledge and ability to perform tasks using Microsoft Word, Excel, Power Point, Outlook and other related programs.
  • Must be able to assist clients as needed.
  • Function well in a team oriented environment; ensuring positive working relationships.
  • Maintain a strong work ethic and be able to show initiative and dedication.

All team members are required to maintain a neat, clean and well-groomed appearance. Team Members will be provided with WVC apparel. Team Members will wear identification badges provided by WVC. Protective equipment i.e. gloves, mask, eyewear, shoe covers, apron, etc. must be worn during labs and discarded and/or removed for cleaning accordingly.

Physical Requirements and Qualifications

The daily duties of this position are physically demanding. The position may require moving equipment which can weigh up to 100 pounds and standing and walking are required. During the annual conference the level of activity increases and the amount of time spent standing and walking will be heavy. Clear vision is a requirement of the position. Corrected vision is acceptable.


Associates degree in related field; or a combination of education and experience. Experience in event planning, conferences, tradeshows, management, concierge services, hospitality, and with non-profit experience is highly desirable.
