Commercial Property Administrator

We are seeking an experienced Commercial Property Administrator to provide administrative support to the property manager in the day-to-day management of of Federal Gateway I, a 10-story Class A office building with ground floor retail in the Capital Riverfront area, steps away from the Navy Yard metro.

Primary Responsibilities
  • Post monthly charges within software for tenant service requests, electricity sub-meter charges, water charges, and miscellaneous items such as security cards. Submit batch report to Commercial Property Manager for review and approval.
  • Generate and distribute monthly rent statement to tenants. Work with Commercial Property Manager to ensure balances are accurate and all ancillary charges are included with appropriate backup.
  • Receive, schedule and coordinate all tenant service requests.
  • Investigate vendor or billing disputes.
  • Maintain file of all tenant and vendor Certificates of Occupancy (COI) and follow-up for updates and renewals.
  • Assist Commercial Property Manager and Chief Engineer with in obtaining competitive vendor bids and maintain vendor contract and contact information.
  • Manage the Datawatch security cards for the property including annual audit, direct support for tenant’s assistant with cards, tracking lost cards, investigating and reporting card activity and the activation/deactivation of cards are required.
  • Assist Commercial Property Manager in scheduling and conducting emergency life safety drill of any nature. Directly responsible for maintaining, distributing, and updating PNA building lists to proper authorities.
  • Assist Commercial Property Manager in the annual generation of the properties budget.
  • Assist Commercial Property Manager with tenant compliance to the Tenant Rules and Regulations as outlined in the tenants leases including updating the tenant handbooks as necessary, scheduling of loading dock times for tenant’s deliveries, move-in’s or move-outs.
  • Compile and enter data as needed to maintain Energy Star status for the property.
  • Performs other duties as assigned.

Requirements:
  • Bachelor’s degree in Property Management, Business Administration or related field
  • Minimum of five years of experience in property management, with at least two in commercial property management
  • Proficiency with MS Office applications (Outlook, Word and Excel software).
  • Excellent organizational skills, with ability to work under limited supervision while maintaining a high degree of accuracy and production.
  • Superb customer service orientation and effective oral and written communication skills, along with a positive and professional attitude.
  • Ability to read and interpret documents such as leases, operating instructions and procedure manuals.
  • Ability to successfully pass a background screen including credit and criminal and maintain a record that satisfies these requirements.
