Reporting to the Facilities Team Lead, the Receptionist is the first point of contact for external stakeholders. As the face of Innovapost, the Receptionist is primarily responsible for greeting visitors, answering incoming calls and directing callers to appropriate staff members, receiving incoming couriers, sorting mail, and issuing/tracking visitor badges. This role also helps to support internal facilities management activities and works closely with the Facilities team as a whole.
MAJOR RESPONSIBILITIES AND ACCOUNTABILITIES
Greet and serve as the front reception liaison for walk-in visitors and guests
Answers and effectively handle incoming calls on a multi-line switchboard
Maintain company directories
Manage mail and couriers, emailing and handling general office duties
Manage visitors access, badges and security to the Innovapost Office
May support the Facility Management and Executive Assistant teams
May act as a back-up for Executive Assistant
Act as the liaison between the executive assistant and the visitors / guests
Organize and coordinate any special requests
Can support third party relationship for facility related issues, etc.
Make taxi arrangements
Assist in the coordination of corporate event when required
Help prepare and organize rooms for meetings as needed
Overall, Selected candidate would spend 10 % of her/his day on the phone and the rest of the time at the front desk
Stakeholder Management: experienced in collaborating with multiple stakeholders internally and externally
Administration: experienced in managing a diverse range of administrative tasks; computer skills
Academic: High School Diploma (required); a college certificate is an asset
Minimum 1 – 3 years’ experience in related field of activity
OVERALL SKILLS – ABILITIES

Strong customer services skills. Someone with short experience as a receptionist but with a background in customer service would be considered

Advanced degree of discretion and judgment while interfacing with important customers and clients and highly sensitive information
Facilitate and encourage collaboration and work as one team
Ability to navigate through uncertainty and change within the organization
Cross train to assist other Facility team members when required
Good knowledge of Microsoft Office Suite applications
