Reporting to the Facilities Team Lead, the Receptionist is the first point of contact for external stakeholders. As the face of Innovapost, the Receptionist is primarily responsible for greeting visitors, answering incoming calls and directing callers to appropriate staff members, receiving incoming couriers, sorting mail, and issuing/tracking visitor badges. This role also helps to support internal facilities management activities and works closely with the Facilities team as a whole.


  • Greet and serve as the front reception liaison for walk-in visitors and guests
  • Answers and effectively handle incoming calls on a multi-line switchboard
  • Maintain company directories
  • Manage mail and couriers, emailing and handling general office duties
  • Manage visitors access, badges and security to the Innovapost Office
  • May support the Facility Management and Executive Assistant teams
  • May act as a back-up for Executive Assistant
  • Act as the liaison between the executive assistant and the visitors / guests
  • Organize and coordinate any special requests
  • Order supplies
  • Can support third party relationship for facility related issues, etc.
  • Make taxi arrangements
  • Assist in the coordination of corporate event when required
  • Help prepare and organize rooms for meetings as needed

Overall, Selected candidate would spend 10 % of her/his day on the phone and the rest of the time at the front desk


  • Stakeholder Management: experienced in collaborating with multiple stakeholders internally and externally
  • Administration: experienced in managing a diverse range of administrative tasks; computer skills


  • Academic: High School Diploma (required); a college certificate is an asset


  • Minimum 1 – 3 years’ experience in related field of activity

  • Strong customer services skills. Someone with short experience as a receptionist but with a background in customer service would be considered

  • Good knowledge of Microsoft Office Suite applications
