Reporting directly to the Executive Assistant to the President and CEO, the Administrative Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven and results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

RESPONSIBILITIES

  • Answer phones, direct calls to appropriate department, or take clear and concise messages
  • Receive visitors by greeting, directing and announcing them appropriately
  • Provide administrative support to executive team
  • Provide back up support to Executive Assistant
  • Manage calendars, arrange travel, meetings and conference calls
  • Process expense reports
  • Purchasing support
  • Assist with document preparation; copy, scan and email documents
  • Electronically store and maintain folders of business documents
  • Mail processing, distribute mail, sign for all packages, and deliver packages to recipient
  • Prepare FedEx and UPS labels, arrange pick-up or deliver to nearest drop-off location
  • Special projects and other duties as assigned
  • Maintain the highest levels of confidentiality and discretion

QUALIFICATIONS

  • 3-5 years of experience as an administrative assistant
  • Possess professional image, and enthusiasm in customer service
  • Strong attention to detail and problem-solving skills
  • Excellent time management skills and the ability to prioritize work
  • Strong organizational skills with the ability to multi-task
  • Proficiency in MS Office (Outlook, Word, Excel and PowerPoint, in particular)
