The Position

Nueva seeks a dynamic Library Assistant and Campus Receptionist/Administrative Assistant who loves working with children, delivering student-centered curriculum and communicating with parents and colleagues. The ideal candidate has a love for reading and learning, experience working with students, strong clerical skills, and a warm and inviting demeanor. This is a full time (10am-6:30pm) academic year (10 month, mid-August to mid-June) position.

Library Assistant

Centrally located, the library is a hub of activity for the Hillsborough Lower and Middle Schools. The library staff works actively to support our school’s mission and to support our faculty and staff in implementing best practices in constructivist, inquiry based learning. In addition to curating a current, diverse library collection, the library staff also helps to cultivate curriculum resources for teachers and research materials for students. They work with classroom teachers to design lessons on research skills and assist individual students and teachers in their research interests. The assistant supports the program through:

  • Supervision of students.
  • Library daily upkeep and maintenance and circulation management.
  • Support for ordering, processing, and cataloging new materials for library and faculty.
  • Reader’s advisory: helping students find interesting and appropriate books.
  • Reference services and instruction to students and faculty: use of reference materials, books, databases, computers, etc.
  • Administrative support for librarian and faculty.
  • Administrative support and group leader for Lit Club program.
  • Support school projects and initiatives.
  • Assists patrons in the use of library facilities (computers, printers, cameras/videorecorders).
  • Assists with seasonal/on-going programs/activities (book fair, author visits, ILC, etc.).

Campus Receptionist/Administrative Assistant

  • Greet people, answering any questions, providing directions and alerting staff when someone is there to meet or visit them.
  • Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system.
  • Keep the administrative offices and campus common areas stocked and organized.
  • Ensure all team and community members have the tools, supplies, and snacks to be successful. Help people understand where they can find the items they need, and who to go to for their needs.
  • Manage supplies, purchase orders, shipments/deliveries, facilities use requests, calendar and schedule updates, general voicemail box, and other administration needs of the school’s administrative office/leadership team.
  • Maintain & organize mailroom and guest reception area on a daily basis. Disseminate mail, packages, overnight deliveries, etc.
  • Attend to minor first aid needs for students.
  • Work on the team to manage logistics related to campus transportation services for students/staff/faculty, including train, buses, shuttles and vans. Transportation responsibilities include routes, scheduling, registration, payments, tracking, and related updates / changes, including annual planning and daily operations.
  • Help plan and execute visitor meetings / tours.
  • Support the regular aftercare and enrichment programs and teams, including student participants and their parents.
  • Support the seasonal weekend and summer programs and teams, including student participants and their parents and educator participants.
  • Support the Executive Assistants and Division Assistants as needed with special projects and events.

Position Qualifications

  • Passion for and experience working with children.
  • Love of reading and books.
  • Experience using the MARC style cataloging and library science experience a plus.
  • Welcoming demeanor.
  • Customer service experience required.
  • Bachelor degree or equivalent relevant administrative work experience.
  • Personable, positive, helpful personality; customer service mindset.
  • Excellent oral and written communication skills.
  • Maturity, judgment, and emotional stability.
  • Detail oriented with excellent organizational skills.
  • Ability to solve problems with creativity, professionalism, tact and kindness.
  • Ability to manage and prioritize multiple responsibilities simultaneously.
  • Ability to manage competing demands, and adapt to frequent or unexpected changes.
  • Compassionate and empathetic.
  • Trustworthy and loyal. Demonstrated ability to maintain confidentiality.
  • Proactive and self-directed.
  • Experience using multi-line phones, Google Applications, MS Office applications, hand-held radios, and general office equipment.
  • Prior school administration experience is a plus.
  • At least 2 years of Reception and/or Administrative Assistant experience desired.
