POSITION SUMMARY

The Intake Coordinator is responsible for performing specific administrative tasks for the department associated with the medical records processing, obtaining required documents and department administration activities.

PRINCIPAL DUTIES AND RESPONSIBLITIES

Referral Processing 90%

Department Administration 10%

  • Communicate with staff and company consultants to gather pertinent claim information as assigned
  • Review (and process) incoming claim referrals. Ensure completeness and legibility of documents, coordinating with client relations and sales to obtain additional information
  • Upload claim data to vendor for processing; review incoming data for accuracy
  • Follow-up with facilities to obtain information needed to process claims
  • Create triage forms for clinical and review teams
  • Receive and review various communications, including fax and e-mail, directing communications to appropriate personnel and entering them in the HANDS system
  • Create and maintain up-to-date documentation and communication for all claims in HANDS system according to company standards
  • Understand and maintain HIPAA confidentiality and privacy standards when completing assigned work
  • Maintain the Medical Records storage
  • Provide department and cross-department phone coverage
  • Assist with travel plans and meetings as assigned
  • Participate in department and company meetings as requested
  • Complete special projects as assigned
  • Using the appropriate templates, create client specific letters and other communications (Acknowledgment Letters, Records requests, etc.)

QUALIFICATIONS

  • High School diploma or GED degree required, some college preferred
  • Minimum of 2+ years administrative experience
  • Familiarity with medical terminology and coding preferred
  • Experience within the healthcare, hospital or insurance markets preferred
  • Prior mortgage or legal experience a plus
  • Advanced computer skills, including Excel, Word & data entry experience
  • Customer service experience both internally & externally
  • Must have excellent written and verbal communication skills
  • Self-starter with a strong attention to detail and ability prioritize competing tasks in a fast paced environment
  • Ability to apply critical thinking skills and problem solving required
  • Team player demonstrating passion and enthusiasm to company vision and mission

COMPENSATION

A competitive salary is offered depending on experience and healthcare/insurance industry experience. Excellent benefits plan details will be provided to final candidates.
